What You'll Do
- Oversee a well-kept, safe, productive, and inclusive office environment by actively supervising support staff and troubleshooting daily needs.
- Serve as the first point of contact: greet visitors, manage calls, and handle all queries with warmth and professionalism.
- Own office logistics: supplies, vendor management, meeting schedules, procurement, and general upkeeping.
- Manage and update employee records, physical and digital, ensuring everything's accurate, secure, and compliant.
- Support HR in recruitment: screener calls, shortlist candidates, line up interviews, and smoothly coordinate onboarding paperwork and orientation.
- Document HR processes: new hire documentation, contracts, policy communications, and employment letters.
- Assist payroll and attendance (tracking leaves, basic pay details, preparing summaries for accounts).
- Facilitate internal communication: help plan and organize office events, team meetings, and employee engagement activities.
- Liaise with external vendors and service providers for day-to-day needs, from supplies to maintenance emergencies.
- Help manage employee queries, supporting with documents, policies, benefits, and broader HR questions.
- Take an active part in new HR projects, helping foster a workplace that's inclusive, high-performing, and people-first.
- Ensure compliance with health, safety, and company policies, flagging concerns and recommending improvements
Who You Are
- Minimum two years' experience in office admin, HR assistant, or front desk roles (multi-tasking is second nature).
- Great people skills for both managing support staff and dealing with employee or candidate queries.
- Professional, welcoming, and organized. Calm in chaos and resourceful when things go sideways.
- Hands-on with MS Office and basic HR information systems.
- Discreet, trustworthy, and tactful with confidential information.
- Familiarity with basic labor/HR compliance is a plus.
- Bonus: Experience with payroll, event planning, or handling social/corporate communications.
