Executive Assistant

Key Areas of Responsibility:
1. Calendar & Scheduling
- Manage the GMs calendar: meetings, appointments, travel plans.
- Ensure necessary documents and briefings are ready before meetings.
- Coordinate schedules with internal teams and external parties.
2. Correspondence & Communication
- Screen and respond to emails, calls, and letters on behalf of the GM.
- Draft and prepare official correspondence, reports, and memos.
- Liaise with staff, parents, vendors, and regulatory authorities.
3. Office Administration & Records
- Maintain organized digital and physical filing systems.
- Oversee office logistics: supplies, documentation, reimbursements.
- Support budgeting and administrative functions of the GMs office.
4. Meetings & Minutes
- Organize and schedule internal/external meetings.
- Prepare agendas, take minutes, and ensure timely follow-ups.
- Assist in creating reports and presentation materials.
5. Travel & Logistics
- Arrange travel, accommodation, and itineraries for the GM and others as needed.
- Manage travel documentation and related reimbursements.
6. Coordination & Liaison
- Act as the communication bridge between GM's office and all departments.
- Track and follow up on delegated tasks and project updates.
7. Confidentiality & Discretion
- Handle sensitive information with complete confidentiality.
- Uphold professionalism and integrity in all communications.
8. Special Projects & Support
- Support GM in managing school events, inspections, and special initiatives.
- Conduct research, gather data, and provide analysis as needed.
- Take on any additional responsibilities assigned by the GM.
