Job Description
Position: - HR & Admin Executive
Location: - Taloja MIDC, Navi Mumbai
Reporting To: - Director / Operations Head
Employment Type: - Full-time
Role Purpose
The HR & Admin Executive will be responsible for managing end-to-end **HR operations, statutory compliance, payroll coordination, office administration, and factory-related admin activities** to ensure smooth day-to-day functioning of Synergie Controls & Systems at the Taloja location.
Key Responsibilities
Human Resources (HR) Responsibilities
Handle recruitment coordination sourcing profiles, interview scheduling, joining formalities
* Maintain **employee records** (personal files, appointment letters, KYC, contracts)
* Prepare and manage **appointment letters, confirmation letters, increment letters, exit formalities**
* Manage **attendance, leave, late coming, and shift records**
* Coordinate **payroll inputs** with accounts/consultant (attendance, leave, overtime, deductions)
* Handle **onboarding & induction** for new employees
* Coordinate **performance review cycles**, KRA/KPI data collection
* Conduct **exit interviews** and maintain attrition data
B. Statutory & Compliance**
* Coordinate with consultant for:
* PF, ESIC, PT, LWF compliance
* Factory Act compliance (if applicable)
* Maintain statutory registers, notices, and employee compliance records
* Support **factory license, labor inspections, audits**
* Ensure compliance with **company HR policies**
C. Administration Responsibilities**
* Office & factory **facility management** (cleaning, security, housekeeping)
* Vendor management for:
* Stationery, pantry, housekeeping, transport
* Travel & hotel bookings for engineers
* Maintain **gate passes, visitor registers, material inward/outward records**
* Support **asset management** (laptops, tools, ID cards, uniforms, PPE)
* Coordinate **travel advances, reimbursements, and settlement records**
* Support **ISO / audit documentation** if required
D. Coordination & Support**
* Act as a **single point of contact** between management and employees
* Coordinate with **Accounts, Projects, Factory Supervisor, and Sales team**
* Support management in **policy implementation and discipline**
Desired Candidate Profile
Education: Graduate (B.Com / BBA / BA) | MBA-HR preferred
Experience: 5-10 years in HR & Admin (Manufacturing / Engineering company preferred)
* Skills Required:*
* Knowledge of labor laws & compliance
* Good communication & coordination skills
* MS Excel, Word, basic payroll knowledge
* Organized, firm, and people-handling ability
Key Performance Indicators (KPIs)
* Timely recruitment & joining
* Zero compliance delays or penalties
* Accurate attendance & payroll coordination
* Employee discipline & policy adherence
* Admin cost control & vendor efficiency
Working Days & Timings
* 6 days working (as per company policy)
* Factory/office timing coordination
