Role Description
This is a full-time on-site role for an Executive Assistant located in Jaipur. The Executive Assistant will be responsible for supporting executives with daily administrative tasks, managing expense reports, facilitating communication, and providing general executive support. Additional responsibilities include coordinating meetings and appointments, handling correspondence, and ensuring smooth operation of the executive's office.
Qualifications
- Fresher/Experience in Executive Administrative Assistance and general Administrative Assistance
- Skills in preparing and managing Expense Reports
- Proficiency in Executive Support duties
- Strong Communication skills, both written and verbal
- Excellent organizational and time-management skills
- Ability to handle sensitive information with confidentiality
- Bachelor's degree in business administration, Management, or related field is preferred.
Key Responsibilities:
Manage and maintain executives' schedules, appointments, and travel arrangements
Arrange and coordinate meetings and events
Prepare and edit correspondence, communications, presentations, and other documents
File and retrieve documents and reference materials
Conduct research, collect and analyze data to prepare reports and documents
Manage and maintain office supplies
Record, transcribe and distribute minutes of meetings
Monitor, respond to, and distribute incoming communications
Interact with internal staff at all levels
Coordinate project-based work
Review operating practices and implement improvements where necessary

Organizational Skills: Ability to keep track of multiple projects, meetings, and appointments
Time Management Skills: Ability to prioritize tasks and manage time effectively
Multitasking and Prioritization: Ability to work on several tasks or projects simultaneously without being overwhelmed
Professionalism: Ability to maintain confidentiality and handle sensitive information with discretion
Nice to Have:
Professional certification such as Certified Administrative Professional (CAP) or Professional Administrative Certificate of Excellence (PACE)
Experience with virtual communication platforms such as Zoom, WebEx, and Microsoft Teams
Familiarity with project management tools like Asana.
