Location: Saket, New Delhi

Reporting to: Procurement Manager

Employment Type: Full-time

Role Overview:

We are seeking a detail-oriented and proactive Equipment Procurement Executive to manage end-to-end procurement for our fast-growing coffee caf chain. The role involves sourcing, vendor management, inventory control, warehouse coordination, and ensuring the timely delivery and installation of critical equipment, including coffee machines, grinders, ovens, cold rooms, stabilizers, ice cube machines, dishwashers, fabricated items, HVAC systems, refrigeration units, kitchen bought-out equipment, stainless steel fabricated items, and lighting.

Key Responsibilities:

Procurement & Vendor Management

  • Procurement of caf equipment: i.e. Makeline, Coffee Machines, Coffee Grinders, Espresso Grinders, Ovens, Servo Stabilizers, Ice Cube Machines, Dishwashers, Fabricated Items, FDU, AC, Refrigerators, Chest Freezers, Kitchen Bought-Out Equipment, SS Worktables, Two-Door Under Counter Chillers, etc.
  • Prepare and issue Purchase Orders (POs) / Transfer Orders (TOs) as per requirement.
  • Maintain vendor database, rate contracts, and agreements.
  • Processing vendor invoice and reconcile a/c periodically.
  • Coordination with finance team for timely vendor payment.
  • Inventory & Warehouse Management
  • Manage warehouse stock of equipment and maintain minimum stock levels.
  • Track inward & outward movement of equipment with proper documentation.
  • Support in capital asset transfer between stores/warehouses.
  • Conduct periodic inventory audits & reconciliation.
  • Operations & Coordination
  • Coordinate with Projects/Operations team for equipment delivery, installation, and handover.
  • Track equipment dispatch, transit, and installation schedules.
  • Ensure compliance with safety and quality standards.
  • Systems & Reporting
  • Work on ERP / NetSuite systems for procurement and inventory management.
  • Maintain Excel trackers for POs, deliveries, stock movement, and installation updates.
  • Generate MIS reports for management review.

Key Skills & Competencies:

  • Strong knowledge of caf/restaurant equipment procurement.
  • Excellent vendor management skills.
  • Proficiency in ERP systems (NetSuite preferred) and MS Excel.
  • Strong coordination, follow-up, and documentation skills.
  • Ability to work under tight deadlines with attention to detail.

Qualification & Experience:

  • Graduate (Commerce/Supply Chain).
  • 4–6 years of experience in equipment procurement, preferably in F&B, Caf, or QSR industry.
  • Exposure to capital asset tracking, warehouse management, and vendor handling.
