About Role
We are looking for a highly organized, proactive, and dependable
Personal Secretary
who can provide end-to-end administrative support, manage day-to-day operations, and coordinate with global clients, partners, and vendors. This position offers
remote flexibility
, including
adaptability to global time zones
when required.
Freshers with strong communication and negotiation skills are encouraged to apply.
Key Responsibilities
Administrative & Executive Support
- Manage scheduling, calendar coordination, and appointment planning.
- Handle emails, calls, follow-ups, and professional communication on behalf of the executive.
- Maintain confidential records, task lists, and documentation with accuracy.
Vendor & Partner Coordination
- Liaise with domestic and international vendors.
- Evaluate quotations, negotiate pricing, and finalize vendor agreements.
- Ensure timely execution of deliverables through proper vendor management.
Accounting & Financial Assistance
- Prepare, manage, and track
invoices
, payments, and receipts.
- Coordinate with finance teams or clients for timely settlements.
- Assist in basic bookkeeping, expense tracking, and preparing reports when needed.
Communication & Client Interaction
- Serve as the first point of contact for clients, partners, and stakeholders.
- Draft professional emails, letters, and communication in
Tamil and English
.
- Participate in virtual meetings and prepare meeting minutes or summaries.
Operational & Miscellaneous Support
- Monitor ongoing tasks and ensure deadlines are met.
- Support the executive in research, data collection, and project coordination.
- Handle ad-hoc tasks depending on business and operational needs.
Required Skills & Qualifications
- Fluency in English and Tamil
– both written and spoken.
- Excellent communication and interpersonal skills.
- Strong
negotiation
capability and ability to handle vendor discussions.
- Good understanding of
basic accounting
, invoicing, and financial coordination.
- Ability to multitask, prioritize tasks, and manage time efficiently.
- High level of professionalism, discretion, and reliability.
- Comfortable
working remotely
with
flexible working hours
, including global timings when needed.
- Basic computer proficiency (MS Office / Google Workspace / Email Tools).
- Freshers are welcome
, provided they have strong communication and willingness to learn.
Preferred Qualifications (Not Mandatory)
- Prior experience as a personal assistant, coordinator, or admin executive.
- Exposure to digital tools, CRM platforms, or project management software.
- Experience in customer support or vendor management roles.
