Job Title: Senior Associate – US & Canada Payroll
Location: Bangalore Shift: US Shift Timings
Experience Required: 3–5 Years in US Payroll
Job Summary:
We are seeking a knowledgeable and detail-oriented Senior Payroll Associate to manage payroll processing for employees across the US and Canada. The ideal candidate should have a strong understanding of US & Canada payroll compliance, prevailing wage regulations, and federal/state/provincial tax laws. The individual will be responsible for ensuring timely and accurate payroll execution, documentation, quality reviews, and compliance with SLAs and KPIs. This role also requires effective collaboration across teams and platforms including Oracle, Kronos, Microsoft, and ADP.
Key Responsibilities:
- Payroll Operations & Compliance
• Process end-to-end payroll for US and Canada including weekly, bi-weekly, and semi-monthly cycles.
• Ensure adherence to US prevailing wages requirements and compliance with local, state, and federal tax regulations.
• Administer payroll adjustments, off-cycle payments, garnishments, and terminations.
• Set up earnings and deduction codes ensuring compliance with payroll policies.
• Manage payroll reconciliations, time administration, and reporting. - Quality, Documentation & Reporting
•Maintain comprehensive payroll documentation and ensure audit readiness.
•Knowledge of quality documentation such as Root Cause Analysis, Correction Action Prevention Action plan, Error log.
•Conduct quality checks to ensure payroll accuracy.
•Support year-end processes, including W-2 validation and distribution (Desirable).
•Maintain accurate records of transactions and support ad hoc reporting needs. - Customer Support & Communication
•Address and resolve employee payroll inquiries within two business days.
•Respond to requests via established communication platforms: Oracle, Kronos, ADP, and Microsoft.
•Escalate unresolved/blocked requests with detailed reasons and follow-ups.
•Ensure high levels of customer satisfaction by meeting SLA/KPI targets. - Process Excellence & Improvement
•Raise process-related issues in a timely manner and support resolution efforts.
•Record and report production statistics and incidents in Issue Tracker.
•Proactively identify and suggest improvements for process efficiency.
•Ensure security and confidentiality of payroll data as per organizational policies. - Knowledge & People Management
•Stay current with payroll process updates, tax laws, and compliance changes.
•Participate in training sessions, knowledge-sharing forums, and documentation updates.
•Collaborate with peers to align personal and team goals.
•Maintain and update process manuals and support knowledge transfers as needed.
What You'll Bring:
•3–5 years of proven experience in US payroll processing.
•Strong understanding of US & Canada payroll compliance and legislation.
•Experience with prevailing wage handling and setup.
•Familiarity with payroll systems such as Oracle, Kronos, ADP, and Microsoft platforms.
•Ability to conduct payroll audits and resolve discrepancies independently.
•Excellent time management, organizational skills, and attention to detail.
•Strong communication and interpersonal skills to work effectively within a team.
•Flexibility to work in US time zones.
Preferred Qualifications:
•Exposure to Canadian payroll processing and compliance is a plus.
•Experience supporting large employee volumes and multiple pay groups.
Academic Background:
•Bachelor's degree or PG degree in Commerce / MBA
