Job Specification:
The Administration Executive will manage and coordinate day-to-day activities within the real estate business, ensuring smooth communication between builders, landowners, customers, and internal teams. The role will involve operational support, client servicing, and on-ground inspections to maintain efficiency in project execution.
Key Responsibilities:
• Builder Coordination
• Act as a liaison between the company and the vendors to track project timelines, quality standards, and deliverables.
• Follow up on project progress, pending approvals, and handover schedules.
• Ensure documentation from builders is complete and filed appropriately.
• Assist in resolving queries or disputes in a timely and professional manner.
• Customer Management
• Handle inquiries from prospective and existing customers through calls, emails, and in-person meetings.
• Manage customer appointments, property viewings, and post-sales support.
• Maintain CRM records, track payment schedules, and address service requests promptly.
• Site Visits & Inspection
• Conduct periodic visits to project sites to monitor work progress and verify compliance with specifications.
• Prepare site visit reports with photographs and updates for management review.

Coordinate with landowner, on-site staff or project managers to resolve operational issues.
• General Administrative Duties
• Maintain project files, agreements, and correspondence both digitally and physically.
• Support senior management in preparing meeting agendas, minutes, and status reports.
• Assist in vendor coordination for supplies, services, and maintenance of project offices.
Education and Experience
• Graduate in Administration, Business, or Real Estate Management (preferred).
• Minimum 3-5 years of administrative or coordination experience in real estate or construction.
• Strong communication and interpersonal skills with the ability to handle multiple stakeholders.
• Excellent organizational and multitasking ability.
• Proficiency in MS Office and basic CRM tools.
• Willingness to travel for site visits. Reporting Structure
