Office Administration Responsibilities:

  • Manage office supplies, inventory, and equipment.

  • Maintain an organized filing system for contracts, orders, invoices, and company documents.

  • Handle general administrative tasks such as answering phone calls, managing emails, and scheduling appointments.

  • Order Processing:

  • Assist in the processing of sales orders, ensuring all orders are accurately recorded and delivered on time.

  • Communicate with suppliers and customers to confirm order status and delivery timelines.

  • Track and maintain records of product shipments and deliveries.

  • Customer Support:

  • Respond to customer inquiries regarding products, pricing, and order status.

  • Provide support in handling customer complaints and issues in a professional manner.

  • Collaborate with the sales team to assist in fulfilling customer requirements.

  • Documentation and Reporting:

  • Assist in generating regular reports for sales, inventory, and delivery schedules.

  • Maintain accurate records of product purchases, sales, and returns.

  • Prepare and process invoices, delivery notes, and purchase orders.

  • Data Entry and Database Management:

  • Input product details, pricing information, and customer data into the company's database or ERP system.

  • Update and maintain product catalogs and inventory databases.

  • Coordination and Communication:

  • Coordinate with internal teams (sales, operations, logistics) to ensure smooth and timely processing of orders.

  • Communicate with suppliers, customers, and other stakeholders regarding business operations and delivery schedules.

  • Assist in preparing presentations, proposals, and reports for clients and internal meetings.

Qualifications:

  • Skills:

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Experience with ERP or CRM systems is a plus.

  • Ability to multitask and prioritize effectively.

  • Attention to detail and accuracy in data entry and documentation.
