**Office Administration Responsibilities**:

- Manage office supplies, inventory, and equipment.
- Maintain an organized filing system for contracts, orders, invoices, and company documents.
- **Order Processing**:

- Assist in the processing of sales orders, ensuring all orders are accurately recorded and delivered on time.
- Communicate with suppliers and customers to confirm order status and delivery timelines.
- Track and maintain records of product shipments and deliveries.
- **Customer Support**:

- Respond to customer inquiries regarding products, pricing, and order status.
- Provide support in handling customer complaints and issues in a professional manner.
- Collaborate with the sales team to assist in fulfilling customer requirements.
- **Documentation and Reporting**:

- Assist in generating regular reports for sales, inventory, and delivery schedules.
- Maintain accurate records of product purchases, sales, and returns.
- Prepare and process invoices, delivery notes, and purchase orders.
- **Data Entry and Database Management**:

- Input product details, pricing information, and customer data into the company’s database or ERP system.
- Update and maintain product catalogs and inventory databases.
- **Coordination and Communication**:

- Coordinate with internal teams (sales, operations, logistics) to ensure smooth and timely processing of orders.
- Communicate with suppliers, customers, and other stakeholders regarding business operations and delivery schedules.
- Assist in preparing presentations, proposals, and reports for clients and internal meetings.

**Qualifications**:

- **Skills**:

- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with ERP or CRM systems is a plus.
- Ability to multitask and prioritize effectively.
- Attention to detail and accuracy in data entry and documentation.
