Position Overview:
The Coordinator in the Publishing Department plays a vital role in supporting the daily operations of the department. This position is ideal for someone with a basic understanding of how a publishing department functions and who is looking to develop their skills in managing workflows, collaborating with different teams, and assisting in the production and distribution of print and digital content.
Key Responsibilities:
Administrative Support:
Provide administrative assistance to the publishing team, including scheduling meetings, managing calendars, and preparing reports.
- Organize and maintain department files, databases, and records.
Communicate with authors, editors, and external stakeholders to ensure timely submissions and feedback.
Project Coordination:
Assist in coordinating the production schedules for print and digital publications, ensuring deadlines are met.
- Track the progress of manuscripts through various stages: acquisition, editing, design, production, and distribution.
- Work with internal teams (designers, editors, marketing) to ensure smooth workflow.
Help prepare and distribute materials for meetings, including marketing plans, editorial calendars, and progress reports.
Content and Production Support:
Assist in the preparation of editorial content for publication by organizing drafts, tracking revisions, and communicating with authors or freelancers.
- Coordinate with the production team to manage the printing process, ensuring quality control and timeline adherence.
Assist in proofreading, copyediting, and fact-checking materials when necessary.
Digital Publishing and Distribution:
Support the digital publishing process by coordinating content uploads and ensuring that digital versions of publications are available on time.
Assist with maintaining the departments website or online store by uploading new content, making updates, and monitoring inventory.
Skills and Qualifications:
Educational Background: Bachelors degree in English, Publishing, Communication, or a related field preferred, or equivalent experience in publishing.
- Knowledge: Basic understanding of the publishing process, including editorial workflows, production, and distribution of both print and digital content.
- Technical Skills: Familiarity with publishing tools and project managing and software (e.g., Adobe InDesign, Microsoft Office, content management systems) is a plus.
- Communication: Excellent written and verbal communication skills.
- Organization: Strong organizational and time-management abilities, with the capacity to manage multiple projects simultaneously.
- Attention to Detail: Keen attention to detail, especially when proofreading and coordinating production timelines.
