Role & responsibilities
1. Front Desk Management
- Greet and assist visitors, parents, students, and staff courteously.
- Maintain a positive and professional school image at all times.
- Ensure the reception area is tidy, organized, and equipped with necessary materials.
2. Communication & Coordination
- Answer phone calls, respond to emails, and route messages appropriately.
- Handle parent and visitor inquiries effectively and provide accurate information about school programs, policies, and events.
- Coordinate with academic and administrative departments to ensure smooth information flow.
3. Administrative Support
- Maintain visitor logs, attendance registers, and communication records.
- Assist in organizing school events, parent meetings, and other functions.
- Manage incoming and outgoing mail and courier services.
- Support admissions and enrolment processes as directed by the Admissions Officer or Admin Manager.
4. Record Keeping & Data Management
- Maintain updated records of student and staff contact details.
- Manage filing systems, both physical and digital, ensuring confidentiality and accuracy.
- Support documentation for IB accreditation, training sessions, and school audits when needed.
5. Professional Conduct
- Uphold the values and culture of the IB school, demonstrating respect, empathy, and effective communication.
- Ensure adherence to safety and security protocols for all visitors and students.
- Maintain discretion and confidentiality in handling sensitive information.
Qualifications & Skills Required:
- Bachelors degree in any discipline (preferably in Administration or Communication).
- 4–6 years of experience in front office or administrative roles (experience in a school or educational institution preferred).
- Excellent verbal and written communication skills (English proficiency essential).
- Strong interpersonal and customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook) and basic database management.
- Well-groomed, courteous, and organized.
- Ability to multitask and remain calm under pressure.
Work Environment:
- Full-time, on-campus role.
- Requires interaction with parents, students, faculty, and external stakeholders daily.
