Job Summary

Role and Responsibilities
- Greet and welcome visitors in a friendly and professional manner.
- Manage incoming phone calls, route them to the appropriate departments, and take messages when necessary.
- Handle inquiries from clients, visitors, and employees, ensuring accurate information is provided.
- Manage visitor log, issue visitor badges, and ensure security protocols are followed.
- Coordinate with relevant staff to ensure visitors are attended to promptly.
- Maintain the reception area to ensure it is tidy, organized, and presentable.
- Assist with scheduling meetings, booking conference rooms, and organizing office events.
- Handle mail distribution, courier services, and other correspondence.
- Maintain office supplies and order new stock when necessary.
- Maintain visitor records and ensure proper documentation is updated.
- Assist in data entry, maintaining files, and preparing reports as needed.
- Act as a liaison between the front office and other departments, ensuring smooth communication and coordination.
- Assist in coordinating office operations and procedures, including supporting HR and administrative tasks.

Qualification and Skills
- Bachelor’s or Master’s degree or equivalent qualification (preferred).
- Relevant experience in a front office, receptionist, or administrative role.
- Experience in customer service or hospitality is a plus.
- Excellent verbal and written communication skills.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to multitask.
- A polite and professional demeanor.
- Ability to handle pressure and maintain a calm, courteous attitude.
