Tender Executive

Job Summary:
The Tender Coordinator is responsible for managing the tendering process, from receiving the invitation to tender (ITT) through to submission. This role ensures that all bids and tenders are prepared with high quality and attention to detail, adhering to company standards and client requirements. The Tender Coordinator will work closely with cross-functional teams, including sales, procurement, finance, and project management, to compile all necessary information for competitive and compelling submissions.
Key Responsibilities:
Tender Management
Review and analyze tender documents to understand project requirements, key submission details, deadlines, and client expectations.
Coordinate the entire tendering process, from preparing initial documents to final submission.
Organize and schedule meetings with relevant stakeholders to discuss project requirements, strategies, and team roles.
Documentation and Submission
Prepare, edit, and proofread tender documents to ensure accuracy and compliance with requirements.
Ensure all required documentation (technical, commercial, and financial) is compiled and formatted correctly.
Coordinate final document printing, binding, and submission, adhering to deadlines and client submission protocols.
Collaboration and Communication
Act as a liaison between internal departments, including project managers, finance, legal, and sales, to gather necessary information.
Organize bid strategy meetings, providing updates on tender requirements, deadlines, and progress.
Communicate with clients or procurement contacts to clarify tender requirements and answer any queries.
Compliance and Quality Assurance
Ensure all submissions comply with company standards and client specifications, including legal and regulatory requirements.
Implement quality control processes for document formatting, language consistency, and professional presentation.
Tracking and Reporting
Maintain a tender register, tracking the status of submissions and ensuring all deadlines are met.
Report on win/loss ratios and feedback from completed tenders to inform future submissions.
Analyze and document successful and unsuccessful tenders to identify areas for improvement.
Post-Tender Activities
Coordinate post-tender clarification meetings or communications as required.
Organize post-bid debrief sessions with internal teams to discuss lessons learned and identify best practices.
Pay: ₹15,000.00 - ₹35,000.00 per month
