**Roles and Responsibilities of Office Assistant**
- **Office Administration**:
- **Communication and Customer Service**:
- Answer phone calls in a professional and friendly manner, directing calls to the appropriate department or individual as needed.
- Greet visitors warmly, provide information as requested, and guide them to the relevant office staff or departments.
- Handle basic customer concerns and escalate issues to the appropriate person when necessary.
- **Document Management and Office Software**:
- Prepare, format, and proofread documents, reports, and presentations using MS Word and Excel.
- Create and maintain databases, spreadsheets, and records in Excel, ensuring data accuracy and organization.
- Assist in the preparation of internal and external correspondence as required.
- **Support to Team and Management**:
- Provide administrative support to senior staff, assisting with report generation, data entry, and meeting preparation.
- Maintain a calendar of appointments, reminders, and tasks for the team, ensuring deadlines are met.
- **General Office Support**:
- Manage incoming and outgoing mail and packages, ensuring timely distribution.
- Ensure all office equipment, such as printers, computers, and telephones, are functioning properly and coordinate repairs as needed.
- Assist with travel arrangements for staff, including booking transportation and accommodations.
**Required Skills**:
- Expertise in Microsoft Word and Excel, with the ability to create and manage documents and spreadsheets efficiently.
- Excellent customer service and interpersonal skills, with a friendly and approachable demeanor.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Detail-oriented with a focus on accuracy and efficiency in all tasks.
By performing these responsibilities, the Office Assistant will contribute to the smooth operation of the office, providing essential support to the team while delivering excellent customer service both on the phone and in person.
Pay: ₹8,000.00 - ₹12,000.00 per month
