Document Controller

The Document Controller for the Power Transmission project will play a critical role in ensuring the accuracy, organization, and accessibility of project-related documents and information. The primary responsibility of this role is to manage all project documentation, including drawings, specifications, contracts, reports, correspondence, and other project-related materials. The Document Controller will collaborate with project teams, subcontractors, and other stakeholders to facilitate the efficient flow of information throughout the project lifecycle.
Key Responsibilities:
**Document Management**:
- Receive, review, and catalog all incoming project documents, ensuring adherence to established naming conventions and filing procedures.
- Organize and maintain both physical and digital document repositories for easy retrieval and reference.
- Update and maintain the document control system to ensure accurate tracking and version control of documents.
**Distribution and Circulation**:
- Distribute documents to relevant stakeholders in accordance with project requirements and schedules.
- Monitor document distribution and ensure that recipients acknowledge receipt and understanding.
**Version Control**:
- Manage revisions and updates of project documents, maintaining accurate version histories.
- Collaborate with project teams to ensure everyone is working with the latest versions of documents.
**Archiving**:
- Regularly review and identify documents that have reached the end of their useful life and facilitate their proper archiving and disposal.
**Collaboration**:
- Work closely with project managers, engineers, architects, and subcontractors to ensure proper document flow and information exchange.
- Assist in coordinating document-related activities during project meetings and reviews.
**Quality Assurance**:
- Perform quality checks on documents to ensure accuracy, consistency, and compliance with project requirements.
**Communication**:
- Maintain clear and effective communication channels with all stakeholders to address document-related queries and concerns.
**Training and Support**:
- Provide guidance and training to project team members on document control processes and best practices.
- Offer technical support to users of the document management system.
**Continuous Improvement**:
- Identify opportunities for process improvement within the document control function and implement solutions to enhance efficiency and effectiveness.
**Qualifications and Skills**:
- Bachelor's degree/Diploma in Engineering.
- Proven experience in document control, preferably in the construction or engineering industry, with exposure to steel erection projects being a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Familiarity with project management principles and processes.
- Ability to work well under pressure and meet deadlines.
- Problem-solving and analytical skills.
Ability to commute/relocate:
- Thrissur, Kerala: Reliably commute or planning to relocate before starting work (required)
