**Job Overview**:
**Key Responsibilities**:
**1.** **Calendar and Schedule Management**:
- Manage and optimize the CEO’s calendar, ensuring the schedule is well-organized, with a focus on prioritizing important meetings, appointments, and events.
- Coordinate and schedule internal and external meetings, ensuring that they are efficiently arranged and the CEO is prepared with all necessary information.o
- Proactively manage any conflicts or changes in scheduling and adapt to the CEO’s needs.
**2.** **Travel Coordination**:
- Plan and organize travel arrangements, including flights, accommodations, and itineraries, ensuring smooth and hassle-free travel experiences.
- Handle any travel-related issues that may arise, including changes to schedules, cancellations, or delays.
**3. Communication Management**:
- Act as the main point of contact between the CEO and internal/external stakeholders (employees, clients, investors, etc.)
**4.** **Meeting Coordination & Documentation**:
- Organize and prepare for meetings, including gathering materials, setting agendas, and ensuring all participants are aligned.
- Attend meetings when necessary, taking detailed notes, capturing action items, and ensuring follow-up is done as needed.
- Prepare presentations, reports, or other documents for meetings or speaking engagements.
**5. Project Management**:
- Assist in managing various projects or initiatives by helping to track progress, deadlines, and deliverables.
- Serve as a liaison between different teams to ensure tasks and projects are on track and provide the CEO with regular updates.
- Take on specific project management responsibilities, as directed by the CEO, to ensure projects are delivered on time.
**6. Confidentiality and Sensitive Information**:
- Handle highly confidential information with discretion, ensuring that all sensitive matters remain secure.
- Ensure that the CEO’s privacy is respected at all times and provide support in managing confidential business matters.
**7.** **Personal Assistance**:
- Provide personal support as needed, such as coordinating personal appointments, managing household-related tasks, or organizing personal events.
- Assist with day-to-day personal errands or requirements that may impact the CEO’s professional responsibilities.
**8.** **Event Planning & Coordination**:
- Help plan and coordinate events, both business-related (e.g., conferences, meetings) and personal (e.g., special events, celebrations).
- Handle all logístical aspects, including securing venues, arranging vendors, managing guest lists, and preparing presentations or materials.
**9.** **Problem Solving & Decision Support**:
- Anticipate needs and proactively find solutions to challenges before they arise, ensuring the CEO’s needs are met efficiently.
- Support the CEO in decision-making processes by researching and gathering necessary information or offering suggestions when appropriate.
**10.** **Document and File Management**:
- Organize and maintain files, both physical and digital, ensuring all documents are easily accessible when needed.
- Help manage and streamline filing systems for important documents, contracts, and correspondence.
**11.** **Administrative Support for Business Operations**:
- Assist with general office management and administrative tasks, such as ordering office supplies or coordinating with other team members for resource allocation.
- Help prepare, proofread, and format reports, business proposals, or documents for the CEO’s review.
**12.** **Stakeholder Engagement**:
- Cultivate and maintain relationships with key business stakeholders, including investors, partners, and clients, on behalf of the CEO.
- Follow up with key contacts, ensuring ongoing communication and building goodwill.
**13.** **Continuous Improvement**:
- Provide feedback on processes and suggest ways to improve efficiencies within the CEO's office.
- Be proactive in learning about new tools or techniques to enhance the effectiveness of the CEO’s office.
**Required Qualifications**:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to work independently and with mínimal supervision.
- High level of integrity, confidentiality, and professionalism.
- A proactive, can-do attitude with a focus on finding solutions.
- Experience should be minimum 1 Year.
**Preferred Qualifications**:
- Previous experience in a Software or IT Management entrepreneurial environment.
- Bachelor’s degree or equivalent work experience.
