The Sales Department Administrative Assistant plays a crucial role in supporting the efficient

operation of the sales team. This individual will report directly to our VP of Sales, providing

invaluable support in various capacities crucial to our operations. This position involves a

combination of administrative tasks and coordination with various departments within the

excellent communication skills.

Roles and Responsibilities:

- Manage online catalogs and databases across multiple websites, marketplaces, and

retailers.
- Assist in the setup and troubleshooting of Electronic Data Interchange (EDI) for new

accounts, streamlining our communication processes.
- Effectively manage pre-sales data in spreadsheets and our Enterprise Resource Planning

(ERP) system, facilitating smooth transitions from inquiries to orders.
- Aggregate and import customer forecasts into our demand planning software,

optimizing our inventory management processes.
- Populate item creation templates for new and existing vendors, ensuring consistency

and accuracy in our product offerings.
- Create and maintain price lists tailored to international customers, adhering to the same

format as our official price list for clarity and uniformity.
- Assist with document uploads to customer freight forwarder portals for international

and complex shipments, ensuring compliance and efficiency in our logistics operations.
- Collaborate in troubleshooting orders that are processed through Shopify, providing

timely resolution and customer satisfaction.

Basic Qualifications:

- Language Proficiency: Must be fluent in English, with the ability to speak, write, and

read clearly.
- Technical Skills: Demonstrated proficiency in Microsoft Excel and the ability to quickly

learn and utilize various software and ERP systems.
- Analytical Skills: Strong analytical and problem-solving skills, with a keen attention to

detail and the ability to manage multiple tasks effectively.
- Communication Skills: Excellent communication and interpersonal skills, with the ability

to collaborate effectively with internal teams and external partners.
- Adaptability: The capacity to adapt to changing priorities and work in a fast-paced

environment
