Greetings of the day

We have an urgent requirement for the post of Administrative Executive for Dombivli Location.

AREAS OF RESPONSIBILITY

**1. Administration**

a) Maintain various agreements, documents, forms, and formats as per pre-defined formats (latest version).

b) Maintenance of attendance records and notifying the concerned authorities

c) Providing support to other departments and managers.

d) Ensure that quality and cost control are maintained in all departments.

e) Ensure a clean office environment.

f) Take initiative in manager’s absence.

g) Maintain procedures manual to ensure consistent performance of routines.

h) Arrange essential mail in priority action order for superior.

i) Check deadlines on incoming requests and put preliminary work into play.

j) Do phone surveys/inquiries as needed.

k) Routinely re-order department supplies

l) Update mail/phone directories

m) Office supplies are made available to trainees as per the guidelines via the Front office Executive.

**2. Information Management**

a) Gathering, migrating, storing and distributing information within the company.

b) Updating admin related information/data into the MIS

c) Providing support to other departments and managers.

d) Providing document management

e) Providing telecommunication management.

f) Assisting the IT team in taking a back-up of data/information as needed.

**3.Manage Office Equipment**

a) Maintain cleanliness of office premises and equipment.

b) Ensure that amenities are provided for staff working and after office hours as per company policy.

c) Maintain Office Library and keep inventory and stock of the material (with appropriate manner)

d) The maintenance of Office equipment is done as per schedule, contracts are reviewed and renewed as required.

e) Record keeping of stationery and providing the same.

**4. Travel**

a) Arrange travel through internal or external agencies as required through accountant.

b) Arrange travel payment once the process is done through an accountant.

c) Prepare itinerary file and supplies required for travel.

d) Complete expense reports after trip

**Salary**: ₹15,000.00 - ₹25,000.00 per month
