- Maintenance and development of the Document Management System
- Perform document management functions including document login, tracking, processing, approval, distributing, and archiving as per the requirements of ISO9001, 14001 and 45001.
- Ensures that all new/updated documents are in the proper format prior to release.
- Ensures that all documents are within permitted timeline since last review prior to entry into the Document Management System.
- Ensure all documents have current Document Owner assigned to them when updating or submitting into the Document Management System
- Reformatting legacy documents into standard template.
- Coordinating the revision, review, and approval of documents.
- Subject matter expert on document management process and assist internal customers with document change activities based on standard procedure requirements.
- Act as an approver for the on-line document management system
- Identify and report on repetitive deviations in document management practices.
- Act as a trainer on Document Management to deliver training to document developers, reviewers and approvers where required.
- Suggest scopes for improvement and actively participate in their implementation (e.g. modification of the on-line document library - SharePoint / OSHENS / Qualityze ).
- Collate and submit data for the monthly HSSE Reports and KPI Dashboards.
- Ensure company supplier portals (ISN, Achilles, FPAL, etc) are maintained and updated as required and customer questionnaires are completed in acceptable timeframe.
- Develop and distribute HSSE communications including the newsletters, toolbox talks and safety alerts at a cadence to be defined.
- Trainer for ISO awareness across ESSAI sites.
- Coordinate and support the Global ISO Internal Audit Schedule.
- Support and participate in Global ISO system development initiatives.
- Excess capacity will be used to provide administrative support to the ESSAI HSSEQ Team with regards to the maintenance of functional administrative tasks.

**Required Capabilities**:

- 5 years plus administrative experience (this is not primarily a secretarial role).
- Proficient (Advanced) in the use of Microsoft Excel, Word, and PowerPoint.
- Proficient in the use of SharePoint based systems
- Must be self-motivated with ability to handle, organize and prioritize multiple tasks and able to perform under pressure to meet deadlines.
- Ability to promote joint action, cooperation and communication to achieve results between functions for broader and more complex operation or management issues and activities
- Occasional travel within the ESSAI Region may be required.
- ISO Lead / Internal Auditor or ability to train to this level.
