**About the Team**

The Real Estate & Workplace team creates and continuously improves Workday’s productive and safe environments while supporting our core values and distinction as a great place to work. With this critical contribution to the company in mind, we partner with other Workday departments such as People & Purpose, IT and Finance to ensure that we are successful in delivering on this goal. We take care of all thing’s “space” - programming new office locations, being responsible for everything from keeping our offices looking phenomenal to functioning well, safely and securely to ordering the snacks that our employees love

**About the Role**

We are hiring an Associate Workplace Coordinator to join our growing team. This full-time position is based in our Yerwada Pune office and reports directly to our Manager Real Estate and Workplace, based in Pune.

**Your scope includes**:
**Reception and Security**

Greeting visitors and maintaining visitor sign-in processes; guiding them to safety team for issuing temporary badges to employees, vendors, contractors, etc. Assist employees with special requests acting as an employee relations liaison to provide help to employees and visitors alike.

**Implementation of Workplace Programs**

Involve in the implementation of new programs which includes safety and security procedures and improved amenities.

**Employee Programs**

Involve in planning and coordinating office social events; including booking venues, catering, scheduling transportation, setting up party decor and coordinating group activities (onsite/ offsite).

**Budget & Expense Tracking**

Support the creation of purchase orders, invoice submittals, and tracking of current spend for a variety of vendor services.

**Vendor Relations Management**

Maintain relationship with vendors that provide supplies/ services; including pantry supplies, office supplies, confidential shredding, first aid and plant maintenance.

**Other administrative duties include**:

- **Meeting Coordination**:Support internal and external meetings to ensure the office area is presentable and in top notch condition. Tasks include: Preparation of welcome signs for visitors, maintain marquees, coordinate with event caterer, and provide administrative support to local senior management as well as executive management who visit the office.
- **Occupancy Use**: Preparation of Workstations for new hires.
- **Workplace Operations**:Handle service tickets and requests for maintenance and other general office repairs which involves supervising furniture moves, office equipment set up, Emergency Action Plan and Life Safety in the local office with help of on site Safety team or contacting the contacting property management on building/site issues when situation calls for it.
- **Technology Support**:Provide office technology support; Perform on-site IT tasks with help from the IT service agent.
- **Office and Pantry Supplies**:Handle all supplies
- **Mail Systems**:Handle all incoming/outgoing mails
- **Support different locations**: This role may involve occasional travel to another Workday office to assist with support services and employee programs to our Workmates in that office.

**About You**

Around 3 years' of facilities, workplace operations or customer service experience, preferably in a fast-paced, growing organisation.
