**Position Summary**: The Executive Assistant (EA) to the Managing Director (MD) provides high-level administrative support to the MD, ensuring efficient operation and seamless communication within the executive team and across the organization. This role requires a proactive, detail-oriented professional capable of managing a diverse set of responsibilities in a dynamic, fast-paced environment.
**Key Responsibilities**:
- **Administrative Support**:
- Manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize meeting agendas, materials, and minutes.
- Maintain confidential files and records.
- **Communication**:
- Serve as the primary point of contact between the MD and internal/external stakeholders.
- Draft, review, and send communications on behalf of the MD.
- Facilitate effective communication within the executive team and other departments.
- **Project Management**:
- Assist in the planning and execution of special projects and initiatives.
- Track progress and ensure timely completion of projects assigned by the MD.
- Coordinate with various departments to gather information and provide updates to the MD.
- **Data Analysis and Reporting**:
- Compile and analyze data for reports, presentations, and strategic planning.
- Prepare detailed and accurate reports, presentations, and documentation for meetings and reviews.
**Qualifications**:
- **Education**: Bachelor’s degree in Business Administration, Communications, or a related field.
- **Experience**: Minimum of 3 years of experience as an Executive Assistant or in a similar role, preferably in the manufacturing or automotive industry.
**Skills**:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with discretion and confidentiality.
- Strong interpersonal skills and ability to build relationships at all levels.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
