Job Title: Admin Executive

Location: British Laureate School, Mohali

Reports to: Head of Operations

Role Overview

The Admin Executive will assist the Head of Operations in managing the day-to-day

administrative tasks of the school. This includes coordination across departments, handling

stores and inventory, managing documentation, vendor coordination, and ensuring smooth day
- to-day functioning of non-academic operations.

Key Responsibilities

Administrative Support
- Assist the Head of Operations in executing routine operational tasks and follow-ups.
- Coordinate with housekeeping, maintenance, transport, and security teams for daily

check-ins and updates.
- Draft letters, maintain logs, prepare minutes, and manage basic documentation.
- Maintain and update internal trackers for facilities, repairs, procurement, and vendor

services.

Store & Inventory Management
- Maintain accurate records of school inventory including uniforms, books, stationery,

equipment, and other consumables.
- Ensure timely stock checks, replenishments, and audits.
- Coordinate with vendors for timely supply and delivery of store items.
- Issue and track store requisitions from various departments.

Vendor and Facility Coordination
- Liaise with facility management vendors for AMC schedules, service calls, and utility

maintenance.
- Maintain service records and bills related to facilities and stores.

Record Keeping and Compliance
- Maintain digital and physical records of administrative files, vendor agreements,

purchase orders, and bills.
- Support in documentation related to audits, inspections, and board compliance.

Qualifications & Skills
- Graduate in any discipline (preferred: BBA, B.Com, or equivalent).
- 1-3 years of experience in school admin or general operations role.
- Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with school ERP is a plus.
- Strong organizational and communication skills.
- Ability to multitask and manage priorities efficiently.
