Trackier is a dynamic and fast-growing SaaS company. We are a Customizable Performance Marketing
Software used by Ad Networks, Agencies and Advertisers to manage publisher relations.
We are seeking a proactive, resourceful, and organized Executive Assistant to provide high-level support
to our founders. This role will be pivotal in managing the CEO’s day-to-day operations, driving
productivity, and acting as a liaison with internal and external stakeholders. This is a unique opportunity to
gain exposure to the leadership of a scaling SaaS company and contribute to strategic decision-making.
**Key Responsibilities**
**Administrative Support**
- Manage the CEO’s calendar, including scheduling and coordinating meetings, events, and travel.
- Prepare and review documents, presentations, and reports for meetings and other business functions.
- Handle confidential information with a high degree of professionalism and discretion.
**Strategic Support**
- Assist in prioritizing and managing tasks and projects for the CEO, aligning with company goals.
- Take meeting notes, track action items, and ensure timely follow-up on decisions and project progress.
- Conduct research, analyze data, and create reports or summaries to support decision-making processes.
- Participate in special projects and strategic initiatives, collaborating with cross-functional teams to drive outcomes.
**Communication & Relationship Management**
- Act as a liaison between the CEO and internal/external stakeholders, fostering clear and proactive communication.
- Build and maintain positive relationships with clients, partners, board members, and other key contacts.
- Manage and coordinate external communications, including press and speaking engagements, as needed.
**Project Management**
- Support and monitor the progress of various projects led by the CEO, ensuring alignment with deadlines and goals.
- Collaborate with different departments to streamline operations and ensure smooth cross-functional communication.
- Maintain project documentation and status reports, updating the CEO regularly on key developments.
**Travel, Event Coordination & Client Gifting**
- Arrange detailed domestic and international travel itineraries, including accommodations and transportation.
- Coordinate logistics for meetings, offsites, and events, managing vendors, travel partners and ensuring seamless execution.
- Conducting & managing end to end client gifting on occasions and as gestures.
**Requirements**:
**Qualifications**
- Bachelor’s degree or equivalent experience preferred.
- 2+ years of experience as an Executive Assistant or similar role supporting C-level members,ideally in a tech startup or SaaS company.
- Exceptional organizational and time management skills with the ability to prioritize and handle multiple tasks.
- Strong written and verbal communication skills, with a knack for problem-solving and an ability to anticipate needs.
- High proficiency with office software (Google Workspace, Microsoft Office) and experience with project management tools like Zoho, Asana.
- Adaptable, proactive, and comfortable in a fast-paced, startup environment.
- High level of integrity and discretion, especially when handling confidential information.
**Preferred Skills**
- Experience in a SaaS, startups or technology-driven company.
- Familiarity with CRM systems like Salesforce and productivity tools like skype, asana, zoho.
- Basic understanding of business principles or prior exposure to strategy and operational planning.
