**Position Overview**:
The Executive Assistant to the Managing Director (MD) provides high-level administrative support to ensure the smooth and efficient operation of the MD's office. This role requires exceptional organizational skills, discretion, and the ability to anticipate the needs of the MD. The Executive Assistant serves as a key liaison between the MD and internal/external stakeholders while maintaining a high level of professionalism and confidentiality.
**Key Responsibilities**:
- **Administrative Support**:
- Manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare meeting agendas, presentations, and reports.
- Maintain accurate records, documents, and files for the MD.
- **Communication and Liaison**:
- Serve as the primary point of contact between the MD and internal/external stakeholders.
- Draft, proofread, and edit correspondence, reports, and other documents.
- Facilitate communication and ensure timely follow-ups on key deliverables and tasks.
- **Event and Project Management**:
- Plan and coordinate events, meetings, and conferences led by the MD.
- Assist in the management and tracking of key projects, ensuring deadlines and milestones are met.
- Conduct research and prepare materials for presentations, reports, or special projects.
- **Confidentiality and Discretion**:
- Handle sensitive information with the highest level of confidentiality and integrity.
- Manage personnel matters, financial records, and other confidential documents.
- **Office Management**:
- Oversee office operations related to the MD, ensuring a well-organized and efficient environment.
- Support the coordination of departmental activities and cross-functional collaboration.
**Key Skills and Qualifications**:
- **Education**: Bachelor’s degree in Business Administration, Management, or a related field (preferred).
- **Experience**: Minimum of 3-5 years in a similar role, supporting senior executives or directors.
- **Technical Skills**: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools.
- **Communication Skills**: Excellent verbal and written communication skills.
- **Organizational Skills**: Strong multitasking abilities, attention to detail, and time management.
- **Problem-Solving**: Ability to anticipate needs, think critically, and offer proactive solutions.
- **Interpersonal Skills**: Professional demeanor with strong interpersonal and relationship-building abilities.
- **Flexibility**: Adaptability to changing priorities and ability to work under pressure.
This role requires a high degree of flexibility, availability, and the ability to work in a fast-paced environment. Occasional travel or after-hours support may be necessary.
