**Role Summary**:
The Executive Assistant provides high-level administrative support to the executive team by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, arranging conference calls, and scheduling meetings. AI tools knowledge would be added advantage towards this position.

**Responsibilities**:
**Administrative Support**:

- Manage executives’ schedules, including the scheduling of meetings, travel arrangements, and conferences.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, collect and analyze data to prepare reports and documents.

**Communication**:

- Serve as a liaison between the executives and other staff or the public.
- Answer and manage incoming calls.
- Draft, review, and send communications on behalf of the executives.

**Meeting Coordination**:

- Plan and coordinate meetings, ensuring that all logistics are handled (e.g., location, equipment, agenda, materials).
- Attend meetings and take detailed minutes.
- Follow up on action items from meetings.

**Project Management**:

- Assist in the planning and execution of various projects and initiatives.
- Track project deadlines and ensure timely completion of deliverables.
- Coordinate with different departments to ensure smooth workflow.

**Confidentiality and Discretion**:

- Handle sensitive information with the utmost confidentiality.
- Use discretion in managing communications and information flow.

**Job Requirements**:
**Education and Experience**:

- Bachelor’s degree in business administration, Communications, or a related field preferred.
- Minimum of 2-3 years of experience providing high-level administrative support.
- Experience in project management or coordination is an asset.

**Technical Skills**:

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
- Familiarity with AI tools and technologies is a strong advantage.
- Experience with scheduling software, video conferencing platforms (e.g., Zoom, Microsoft Teams), and document management systems.
- Ability to conduct data analysis and prepare statistical reports.

**Communication and Interpersonal Skills**:

- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to build relationships across all levels of the organization.
- Ability to draft, review, and manage professional communications on behalf of executives.

**Organizational and Time Management Skills**:

- Exceptional organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong attention to detail and accuracy in all work.
- Ability to manage complex calendars, coordinate multiple schedules, and handle logístical arrangements efficiently.

- Ability to conduct thorough research and analyze data to support decision-making.
- Proactive approach to identifying issues and implementing solutions.
- Strong critical thinking and problem-solving abilities.

**Project Management**:

- Experience in planning, executing, and managing projects with multiple stakeholders.
- Ability to track deadlines, manage deliverables, and ensure timely completion of tasks.
- Strong coordination skills with the ability to work across departments.

**Preferred Qualifications**:

- Knowledge of AI tools and how they can be leveraged to improve administrative efficiency.
- Previous experience working in a fast-paced corporate environment or with C-level executives.

**Shifts**:
3 PM -12 AM (Female Employees) 5 PM-2 AM (Male Employees) (Drop-off facility will be provided)
