**Job Description**:
**Main Purpose of position**:
Will be responsible for management of project document control via Software & Manual. Supporting Project Head in managing the project document related works, records etc.
**Key Responsibilities**:
1. Monitor a document control system (On A-site) to monitor all design and site related information through design management system.
2. Monitor and report delivery of latest drawings issued by the design consultant and also check the same is updated in the design management software provided by the company under right folder & version.
3. Support Management in creating Document Management System. Setup and maintain data in the Electronic Document Management System.
4 Establish and maintain document control procedures and processes, including document numbering, revision control, and storage.
5 Create and maintain documentation, such as manuals, policies, procedures, and work instructions.
6 Manage the distribution of documents to internal and external stakeholders, ensuring that documents are delivered on time and to the correct recipient.
7 Ensure that documents are properly reviewed and approved, and that all changes are properly recorded and communicated. Maintain document control metrics and reporting on document control activities.
8 Archive and store physical and electronic documents in accordance with company policies and procedure
9 Ensure that documents are easily accessible and searchable, using document management software or other tools.
10 Accurately process and record all technical documentation - RFI ,MTS,TDS etc.in accordance with agreed procedures. Ensure agreed procedures satisfy project, client and regulatory requirements.
11 Maintain a Master Document Register (MDR) consisting of drawings, specifications, procedures and plans
12 Manage the flow of correspondence in and out of the company through proper transmittals; ensure outgoing documents are accurate, comply with company standards and policies, route correspondence to correct associates; and protect and secure confidential and proprietary information.
13 Review and verifies project documents for completeness, format, and compliance with contract requirements.
14 Submit project documentation to management team for approval and transmits approved documents to customer.
15 Contribute to compilation of final project dossiers, as built portfolios and archiving. Ensure the entry in Lesson Learned log after completion of each project.
**Qualifications**:
1.Education - Diploma or B.E/B.Tech ,preferably with certification in Document Management System.
2. 06-08 years of work experience with demonstrated career growth graph.
3. Sound Knowledge and experience of project document related works, maintaining records ,Archives etc ,exposure of working and handling document management work on software.
4.Excellent verbal and written English communication skills ,along with presentation skills and the capability to relate and communicate with people from a variety of diverse backgrounds at all levels of the industry.
Major Skill set required:
Technical Project Management: The knowledge ,skills and behaviour related to specific domains of project management. The technical aspects of performing one’s role.
