You will be responsible for organizing and coordinating administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety in line with our culture and values.
**ESSENTIAL RESPONSIBILITIES**
- Serve as the point person for office manager duties including Maintenance, Mailing, Supplies, Bills, Equipment, Errands
- Maintain office condition and arrange for necessary repairs, upgrades
- Partner with HR to update and maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Ensure that all items and invoices are paid on time
- Manage contract and price negotiations with office vendors and service providers, as necessary
- Manage office G&A budget, ensure accurate and timely reporting
- Support budgeting and bookkeeping procedures
- Create and update records and databases with personnel, financial and other data.
- Coordinating domestic and international travel, including flight, hotel and travel reservations
- Assist in the onboarding process for new hires
- Address employees’ queries regarding office management issues (e.g., stationery, travel arrangements, etc)
- Plan in-house or off-site activities, like parties, celebrations, and conferences.
**DESIRED SKILLS AND EXPERIENCE**
- Outstanding communication (written and verbal) and interpersonal abilities
- Strong organizational and planning skills in a fast-paced environment
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office (MS Excel and MS Outlook in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- A creative mind with an ability to suggest improvements
