**EXECUTIVE - ADMINISTRATION & FACILITY MANAGEMENT**
**Overview**:
Responsible for ensuring the smooth functioning of the Office by planning, scheduling and executing day-to-day activities. To assist the Talent Management Division & different departments of the Organisation and their Heads as part of their profile to make the Operations smooth & running.
To monitor & manage Facility Management of the organization which integrates people, place and process within the built environment with the purpose of improving the quality of life of people and the productivity of the core business.
**Reports to**:Administration Head / Administration Manager / HR Manager
**Qualification**: Any Graduate, 2 -3 yrs Experience in relevant field, Good communication skills (Written & Verbal in English & local language), Good Computer skills, Excellent interpersonal skills.
**Responsibilities & Duties**:
- Handling various administrative and clerical responsibilities such as answering phone calls, taking and conveying messages, making appointments, ordering office supplies, etc.
- Scheduling inter-departmental meetings, coordinating the time schedules with the employees, and arranging food and other necessities. Managing Canteen activities.
- Handling and managing calendar schedules of management, making required documents for the meetings, making travel arrangements, booking hotels and conference rooms, arranging for audio-video equipment for the meetings.
- Organizing, compiling, and updating company records and documentation.
- Assisting the Talent Management department in scheduling, coordinating and executing training and other office events.
- Helping the department heads as and when required.
- Liaisoning with internal and external agencies for smooth administrative functioning.
- Assisting Admin Head in all day-to-day activities.
- Coordinating with the housekeeping staff (Outsourced & Internal both) for daily activities.
- Ensure all safety and security of the staffs and property.
- To keep Oganisational and time-management skills while on duty.
- Quick-thinking, planning, coordinating, and executing skills as per requirement.
- To keep all Vendor files, Maintenance Reports, MIS & Reports available at any point in time.
- Extending Administrative support to all Company activities, upkeeping Company vehicles, Asset maintenance and Register updates, Inventory & Facility management.
