We are expanding our international team and seeking a dedicated **Office Administrator** based in India to support our operations and leadership team.
**Key Responsibilities**:
- **Executive Support**: Provide comprehensive administrative support to company leadership, including calendar management, travel coordination, internal scheduling, and meeting logistics across U.S. time zones.
- **Document & Workflow Management**: Organize and maintain digital filing systems, track project deliverables, and ensure timely completion of tasks using tools like Google Workspace, SharePoint, and project management platforms.
- **Proposal Development**: Assist in drafting, reviewing, formatting, and submitting proposals for government and private sector contracts, ensuring compliance with RFP requirements and brand standards.
- **Resume Writing & Editing**: Create, tailor, and edit resumes for technical and project staff to align with proposal needs, highlighting relevant experience and certifications.
- **Reporting & Presentations**: Support the preparation of internal reports, executive summaries, and PowerPoint presentations for clients, partners, and internal meetings.
- **Client & Partner Coordination**: Serve as a central point of communication between internal teams, U.S.based clients, subcontractors, and partners to ensure alignment and efficiency.
- **RFP & Deadline Tracking**: Monitor procurement portals and databases for active opportunities, track RFP due dates, and maintain updated logs of submissions and pipeline activity.
- **Onboarding & Compliance**: Assist with the onboarding of new team members, ensuring completion of HR paperwork, background checks, and system access documentation.
- **Procurement & Invoicing Support**: Coordinate with vendors, maintain procurement logs, track invoices, and support financial documentation as required by leadership.
- **Team Collaboration**: Participate in internal check-ins, take detailed meeting notes, follow up on action items, and ensure task accountability across various projects and team members.
- **Time Zone Management**: Work proactively with U.S.based leadership and clients, maintaining availability during overlapping hours with Eastern Time (EST).
**Preferred Qualifications**:
- Bachelor’s degree in business administration, communications, or a related field
- 2+ years of experience in an administrative, operations, or proposal coordination role
- Strong writing and editing skills with a keen eye for grammar and formatting
- Excellent English communication skills (written and spoken)
- Proficient in MS Office Suite, Google Workspace, Zoom, and cloud-based collaboration tools
- Familiarity with resume formatting and content tailoring for government contracts
- Ability to work during overlapping hours with U.S. Eastern Time (EST)
- Familiarity with construction, engineering, or consulting sectors is a plus
