**Job Title**: Administrative Executive
**Location**: Henkel Seawoods Head office
**Reports To**: Facility Manager
**Department**: HSR (Infrastructure, IMEA)
**Job Type**: Full-time.
**Job Summary**:
This role requires attention to detail, the ability to handle multiple roles, and effective communication with clients and internal departments.
**Key Responsibilities**:
To raise purchase orders and process invoices for Henkel's non-production (offices, labs) sites.
To coordinate with the Finance team to ensure timely vendor payment processing.
To prepare monthly provisions for administrative billing on a recurring basis.
To track renewals for all Annual Maintenance Contracts (AMCs) and purchase orders.
To participate in the CSR & EEC teams at Henkel, supporting the organization of programs, functions, and events.
To provide support to the front desk in her absence, including handling employee hotel, cab, and flight bookings, as well as any other tasks assigned.
To maintain records of invoices, payments, and billing correspondence.
To managing office supplies/stationery.
To handle billing-related inquiries and resolve discrepancies with clients.
**Qualifications**:
Bachelor’s degree in Business Administration or a related field (preferred).
Proven experience as an Administrative Executive or in a similar role.
Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook) and office management software.
Strong organizational and multitasking abilities.
Excellent communication skills, both written and verbal.
Attention to detail and problem-solving skills.
Ability to prioritize tasks and meet deadlines.
**Skills**:
Time management and ability to handle multiple priorities.
Ability to work independently and collaboratively in a team.
Knowledge of office management systems and procedures.
Familiarity with basic accounting and budgeting practices.
**Experience**:
2-4 years of experience in a similar administrative role.
**Work Environment**:
This is a full-time position, typically Monday to Saturday
