**Profile: Executive Assistant - 1 (Business Coordination)**
**Profile summary**:
The Executive Assistant role will be serving as an air traffic controller for the leader and be acting; as an integrator connecting various distinct, or inter-dependent, work streams; as a communicator linking the leadership team and the broader organization; as an effective solutions enabler and a candid observer when the leader needs a wide-ranging view without turf considerations; and as a confidant with an intent to make the leader to be more successful, be more productive, be more impactful, and to be projecting a good image; with due consideration for the needs of the whole enterprise. As a representative voice of the senior leadership, the role requires a high level of humility, maturity, and situational sensitivity. This role will likely enable you to learn more, evolve more, contribute more, experience more, & thus reach higher-responsibilities sooner.
**Role and Responsibilities**:
- Assist senior leadership for strategy (and/or innovation) deployment, strategic initiatives, special projects, and support day to day business operations, in a most effective, efficient and flawless manner; and help prioritize their time and appointments
- Coordinate to organize tasks, that may be assigned by the leader to various departments, and track those for completion, and proactively provide periodic progress updates to the leader
- Coordinate with finance and accounting, for keeping track of cash flow, balances, and payment priorities; may track specific organizational assets, and effect/track requisites procurements, and track allocation reports, as may be directed by the leader, from time to time.
- Maintain a calendar of management reports, compliance schedules, recurring payments, and strategic meetings, as needed for the business operations, and ensure that those are accomplished on schedule; identify risks/issues early, and escalate/mitigate in a timely manner
- Coordinate communications, schedule meetings, and manage workflows and track tasks; across work streams; organize events/meetings and travels; and may support key business visitors
- Support internet-based research, on given topic, and scan industry happenings, so to keep abreast of industry dynamics at all times, and provide requisite assistance for preparation of working papers and reports, presentations, content development in various formats, and may provide literary inputs
- Collate information and prepare greatly engaging presentations, associated documentation, and summary sheets, as per required for various stakeholder engagements
- Collate various reports, and review for analytics, and prepare summary reports/presentations, for stakeholders; and may be required to assist with presentations on behalf of the leadership
- Taking notes during the meetings that the leader may assign to be attended and making sure that the action items from the meeting are followed-through for conclusion
- Act as a communication interface on leader’s behalf, and be able to communicate wants, needs, concerns, ideas with various functions in an effective and efficient way
- Be demonstratively enthusiastic for any additional responsibilities/tasks, as may be assigned from time to time, with a zeal for multi-tasking
- Manage confidential information with utmost care; and support document management
**General requirements**
- Bachelor’s degree in Business Management (BBA, BMS) or in related field (e.g. BSc. Computer Science Science/IT) may also apply; specialization/post-graduation in management stream, or relevant executive assistance/secretarial diploma/certification, is preferred
- Typically, 3 to 6 years’ experience in executive assistance, and/or business development
- Demonstrable technical savviness, with high aptitude to work with technology professionals
- Excellent verbal and written communication skills, with ability to interact independently with internal/external stakeholders, demonstrate a high level of maturity in dealing with situations
- Business-minded, a strategic planner, who is detail-oriented and data-driven, with a process orientation, with Impeccable time management and multi-tasking skills
- Ability to analyse and compile large sets of data and present effective reports; with proven problem solver who can make clear-headed decisions while under pressure
- Self-motivated, self-sufficient, effective, versatile and action-oriented
- Good understanding of people motivators, personality types, behavioural assessments
- Good organizational skills and a keen attention to detail; and the ability to work effectively and manage a varied workload; with eagerness to learn, develop and grow with the business
