**Job Title: Front Desk Clerk**

**Job Summary**:
The Front Desk Clerk serves as the first point of contact for visitors and guests, providing exceptional customer service and ensuring smooth and efficient operations at the front desk. Responsibilities include greeting visitors, managing incoming calls, handling inquiries, and performing various administrative tasks to support the overall function of the organization.

**Key Responsibilities**:

- **Greet and Welcome Guests**: Warmly welcome guests and visitors as soon as they arrive at the office or facility, creating a positive first impression.
- **Direct Visitors**: Direct visitors to the appropriate person or department, ensuring they feel attended to and comfortable.
- **Manage Phone Calls**: Answer, screen, and forward incoming phone calls professionally and promptly, taking messages as necessary.
- **Administrative Tasks**: Perform a variety of clerical duties, including filing, photocopying, faxing, and data entry.
- **Maintain Security**: Follow security procedures and protocols to maintain office security, including monitoring access, maintaining a logbook, and issuing visitor badges.
- **Mail Management**: Receive, sort, and distribute daily mail and deliveries, ensuring timely and accurate handling.
- **Appointment Scheduling**: Schedule and confirm appointments and meetings, keeping calendars organized and up-to-date.
- **Maintain Reception Area**: Ensure the reception area is tidy, presentable, and stocked with necessary supplies and materials (e.g., brochures, forms, pens).
- **Support Staff**: Provide administrative support to other staff members as needed, including preparing reports, handling correspondence, and assisting with special projects.
- **Customer Service**: Address and resolve customer complaints and issues in a courteous and efficient manner, escalating to the appropriate person if necessary.

**Requirements**:

- **Experience**: Previous experience in a customer service role or front desk position is preferred.
- **Skills**: Strong verbal and written communication skills; proficiency in Microsoft Office Suite; familiarity with office equipment (e.g., fax machines, printers).
- **Customer Service**: Excellent interpersonal skills and a customer-focused attitude; ability to remain professional and courteous in stressful situations.
- **Organization**: Strong organizational skills, with the ability to multitask and manage time effectively.
- **Problem-Solving**: Ability to be resourceful and proactive in dealing with issues that may arise.
- **Appearance**: Professional appearance and demeanor.
- **Education**: High school diploma or equivalent; additional certification in office management is a plus.

**Working Conditions**:

- The position is typically based in an office or hotel lobby environment.
- The role may require standing for extended periods and occasionally lifting office supplies and materials.
- The job may involve shift work, including evenings, weekends, and holidays, depending on the organization’s needs.
