We are seeking a highly organized and detail-oriented Commercial Assistant to join our team. As a Commercial Assistant, you will play a crucial role in supporting our commercial operations by tracking and managing all expenses related to our projects. Your meticulous attention to detail and strong analytical skills will contribute to the success of our organization. **Responsibilities**:
- Develop and maintain a comprehensive system for tracking all project expenses, including but not limited to procurement, supplies, equipment, and services.
- Collaborate closely with project managers, finance teams, and vendors to ensure accurate and timely recording of expenses.
- Verify and reconcile invoices, receipts, and purchase orders, ensuring compliance with internal policies and procedures.
- Prepare regular reports and analysis on project expenses, highlighting trends, cost-saving opportunities, and potential areas of concern.
- Assist in budget planning and forecasting, providing accurate and up-to-date expense information to support decision-making processes.
- Support project teams in monitoring and controlling costs, identifying any discrepancies or deviations from the budget.
- Maintain organized documentation of all financial transactions and ensure proper archiving for future reference.
- Collaborate with other departments, such as accounting and procurement, to streamline processes and optimize expense management.
- Stay updated on industry trends and best practices in project expense tracking, implementing improvements to enhance efficiency and accuracy.
Qualifications:
- Bachelor's degree in finance, accounting, business administration, or a related field.
- Proven experience in commercial or financial roles, with a focus on expense tracking and analysis.
- Strong numerical and analytical skills, with exceptional attention to detail.
- Proficiency in using financial management software and tools.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels.
- Proficiency in spreadsheet software (e.g., Microsoft Excel, Google Sheets) for data analysis and reporting.
- Ability to prioritize and manage multiple tasks simultaneously while meeting deadlines.
- Strong problem-solving abilities, with a proactive and solution-oriented mindset.
- Knowledge of project management methodologies and terminology is a plus.
