**ANOC **is looking for an Executive Administrative Secretary to support our executive team based in Toronto and Dubai. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. You will manage mostly business related tasks for the team such as scheduling client meetings, organizing calendars, legal documentation, and other organizational tasks. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
**Responsibilities**:
- Act as the point of contact among executives, clients and other external partners
- Manage executives’ calendars and set up meetings
- Assisting clients with the completion of paperwork and ensuring that this is submitted on time
- Remain up to date with the policies and business industry updates
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Researching and conducting data to prepare documents for review and presentation by the executive team
**Job Requirements**:
- 4 years experience in administrative role reporting directly to upper management
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in CRM systems, Task management and other productivity tools, with aptitude to learn new software and systems
- Experience overseeing budgets and expenses
- Experience developing internal processes and filing systems
- Professional level verbal and written communications skills.
