Overview & Responsibilities

PURPOSE OF THE JOB

The Import / Export Coordinator handles domestic and international shipments, coordinates with 3rd Party Logistics providers and freight forwarders, handles the import/export process, and ensures compliance with India and foreign government laws and regulations. Expedites the flow of traffic to and from foreign destinations, including customs documentation and transportation. Oversees the completion of paperwork and monetary transactions associated with international distribution in a timely manner. Selects appropriate delivery methods to minimize delivery costs and maximize customer satisfaction. Analyzes, handles, and reviews loss and damage claims caused by accidents.

The Import / Export Coordinator is also expected to ensure compliance with the Department Operations Manual and all applicable Work Instructions in support of Elliott Safety, Quality and ISO requirements.

BACKGROUND and EXPERIENCE

Bachelor degree preferred, although equivalent experience will be considered. The Import / Export Coordinator must possess five years experience in an operational environment with strengths in international transportation and regulatory compliance.
- Experience in operations / supply chain roles such as logistics and transportation.
- Excellent communication skills, both written and oral, for interaction with personnel from many other departments and locations worldwide.
- Extensive knowledge of tariffs, hazardous materials, freight classifications, import/export compliance.
- Extensive experience and knowledge of all modes of transport, truck, barge, ocean, rail, air, multi
- modal.
- Excellent knowledge of INCO terms and contract requirements
- Experience in handling import/ export shipping functions and working with freight forwarders and shipping carriers
- Experience in handling International shipping documentation and shipping requirements.
- Experience in handling Domestic shipping functions and working with shipping carriers
- Knowledge, with India Customs filing and of India Customs laws.
- Knowledge of planning / scheduling and how it impacts on-time shipments.
- Excellent Computer skills. Competence with MS-Office software package (Word, Excel, Powerpoint).

NATURE OF THE JOB

Responsible for the execution and coordination of all transportation matters and activities including monitoring transport costs, working with brokers and agencies to facilitate smooth transportation actions. Planning, achieving, and maintaining a high level of on-time delivery and customer service for both internal and external customers is vital to this position. This is a fast paced job dealing with all types of personnel and equipment, multiple locations and facilities, as well as domestic and international orders and customers.

SUPERVISION

Position is that of an individual contributor.

SPECIFIC JOB RESPONSIBILITIES/COMPETENCIES

Ensure that all shipping documentation is complete and accurate for all shipments.
- Prepare hazardous material shipping documentation as required, for imports/ exports.
- Route shipments via most economical mode.
- Oversee import and export of all modes of transportation including air and ocean freight forwarding
- Oversee Domestic logistics of all modes of transportation including air and ocean freight forwarding
- Interpret all Domestic, Import / Export documents
- Utilize services of less-than truckload carriers and air-forwarders to handle fulfillment shipments.
- Work with commercial operations to provide accurate shipping costs for the quoting process.
- Work with buyers and other scheduling functions in coordinating and executing shipments with complex customer/ supplier requirements.
- Maintain current up-to-date information on import/ export regulations and practices.
- Coordinate with the Legal Department with regards to import/ export compliance as needed (international sanctions)
- Monitor and report status of outbound and inbound transportation and deliveries
- Obtain weights and dimensions of cargo from drawings
- Gather information for shipments and submit requests for quotes through the E-bid Freight system / Manual system.
- Review transportation quotes submitted in the E-Bid system and determine the best shipping option to move forward with.
- Clear goods for export through Freight forwarder.
- Self starter with the ability to work under short time frames, well organized, and the ability to handle multiple tasks simultaneously.
- Close interaction as necessary with Freight forwarder and Customs department for closure of Duty exemption certificate
- Work with Operations and Supply chain, for coordinating timely arrangement of shipments to and from Customers/ Suppliers.
