**Job Summary**:
We are looking for a proactive and highly organized **Personal Assistant & Administrative Executive** to support our Director with a variety of tasks to streamline operations and enhance productivity.
**Key Responsibilities**:
- **Calendar & Schedule Management**:
- Organize and oversee the Director’s daily schedule, including meetings, appointments, and travel.
- Ensure priority and efficiency in scheduling, maximizing productivity.
- **Communication & Correspondence**:
- Serve as a liaison between the Director and internal/external contacts, ensuring clear and professional communication.
- **Meeting & Event Coordination**:
- Schedule, prepare agendas, and assist in organizing meetings, conferences, and events.
- Record and distribute meeting minutes and track action items for follow-up.
- **Travel Arrangements**:
- Plan and arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Handle travel adjustments and address any on-the-go requirements.
- **Information & File Management**:
- Manage sensitive information with discretion, maintaining organized electronic and physical filing systems.
- Ensure the quick retrieval of documents and streamline file organization.
- **Task Prioritization & Support**:
- Prioritize tasks and identify urgent matters requiring immediate attention, ensuring efficient time management.
- Screen incoming calls, messages, and inquiries, handling or redirecting as appropriate.
- **Administrative Assistance**:
- Prepare, review, and proofread reports, presentations, and other documents for completeness.
- Manage expense tracking, submit reimbursements, and perform general administrative duties.
- **Office Management**:
- Assist with general office administration, such as supply management, equipment maintenance, and coordination of office logistics.
- Oversee office operations, ensuring a well-functioning and organized workspace.
- **Relationship Management**:
- Foster and maintain positive relationships with internal teams, clients, partners, and stakeholders.
- Represent the Director professionally in all interactions and communications.
**Qualifications and Experience**:
- Bachelor’s degree in Business Administration, Management, or a related field.
- 2-3 years of experience as a Personal Assistant, Administrative Executive, or similar role.
- Proficiency in MS Office suite (Word, Excel, PowerPoint) and scheduling tools.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with professionalism and sound judgment.
- Must be comfortable going on field if required.
Pay: ₹20,000.00 - ₹30,000.00 per month
