Experience Coordinator

We are Hiring Experience Coordinator.

Our team is comprised of office-based staff working at our headquarters for Rivers and Ridges experiences located in Pune, Maharashtra. Our expert facilitators and single-day trek/ camp leaders conduct all the pre-scheduled weekends plus the multi-day tours across India and some exotic destination tours in Borneo Malaysia, Tanzania, Kenya, Bhutan, Thailand, Vietnam, Cambodia, Morocco, Spain, Ireland, UK, USA and Canada. With over a decade of knowledge and experience, we are known for curating and delivering highly organised events and extremely well-planned tours. **What is expected in this role?**

3-4 years of experience in a relevant industry is required.

This is a full-time position and you are expected to have some flexibility, particularly during seasonally busy times. Sometimes you may be asked to work on holidays depending on the monthly/ quarterly/ annual schedule (Comoff will be given accordingly).

A high level of communication is required while working alongside coworkers, field personnel like trek leaders, destination managers as well as customers. You should be adept in basic computer procedures, using programs like Microsoft office and Google apps - Gmail, Drive, Calendar and Forms as well as execute job responsibilities with a high level of professionalism and attention to detail. A general understanding of the outdoors including trekking, camping, river rafting, safari and backpacking is expected.

We expect that all employees put in the effort to learn about all of the Rivers and Ridges Experience offerings, particularly in Adventure tours and treks, also continually growing and developing their knowledge of outdoor activities.

**What are the qualifications required?**

Excellent communication in English written and spoken is required. Hindi/ Marathi or any other regional language can be secondary.

BBA or Equivalent graduation minimum

Travel Industry or Event management background preferred. Sales background preferred. Client response executive background with tourism industry exposure preferred.

Must have travelled to 4-5 destinations in India or overseas.

**What does this role require on the job?**

Calls to be handled full-time while at work. When a tour is announced you have to create/edit or get the necessary pdfs and flyers, banners content ready for a given date and make all the broadcast and responses. Build what’s app database and work with the help of what’s app software to send daily broadcasts.

Create what’s app group and add members for treks and tours. Whom to call list, prepare the lead sheet with all communication to close sales. Coordinate and communicate clearly. Look over all the online and offline promotions and maintain milestones towards completing tasks.

Work with content writers and bloggers. Plan and promote among groups and members of associations.

Create an action items chart for immediate action - any calls to be made and closed by Sales Exec. to be given out as a proper calling list with details of prior communication.

Organise Pre-tour meetings and social gatherings for the existing clients. Plan pro bono treks and local events with guest speakers and travel to locations if required.

Making arrangements for tours with in-house and outsourced work with vendors from printing t-shirts, banners and gifts to transport, hotel bookings, and flight bookings. Making arrangements for customised tours either requested from the sales team or the client side. Before the tour is announced get ready with the availability and expenses for the tour in place.

Always stay in touch with customers w.r.t to a tour or trek they have requested to get a possible date for the upcoming tour and get confirmations before the tour announcement. Make a possible date for all inquiries.

Handle post-tour responsibilities.

Work alongside tour leads and assistant tour leads.

Collecting all the promotional material - content, videos and posting it to the respective handles as per the calendar.

Communicating with the vehicle driver, hotel managers, local guides and all those involved in a tour.

Keeping the travel and accommodation expenses records.

Coordinating with the tour operators on the domestic and international tour packages.

Block dates with Schools and Corporate teams. Submit quotes after finalising with Sales Team.

Maintain all records of booking and expenses before and after the trip.

Research locations and build itineraries with Rivers and Ridges team across India and abroad.
