As a **Admin officer**, you will be responsible for sourcing materials, equipment, and services required for the manufacturing and installation of lightning protection systems. You will also assist in maintaining the quality of products and services procured, ensuring compliance with internal standards and industry regulations. A key part of your role will involve effective communication with suppliers, internal stakeholders, and other departments to ensure smooth procurement operations.

**Key Responsibilities**:

- **Purchasing & Vendor Management**:

- Source, follow ups, negotiate, and manage suppliers for materials, components, and services as per requirement.
- Create and manage purchase orders (POs), ensuring timely and cost-effective procurement.
- Develop and maintain relationships with suppliers, ensuring reliability and competitiveness in pricing, quality, and delivery.
- **Inventory & Stock Management**:

- Maintain accurate inventory levels and track the movement of materials.
- Collaborate with the warehouse and logistics teams to manage stock levels and coordinate delivery schedules.

**Quality Administration**:

- **Quality Control & Compliance**:

- Ensure that all procured goods meet the company’s quality standards and regulatory requirements.
- Conduct inspections, audits, and testing of materials to ensure compliance with industry norms and safety regulations, particularly in relation to lightning protection and safety.
- Collaborate with the quality control team to address any quality issues or discrepancies with suppliers.
- **Documentation & Reporting**:

- Maintain procurement records, including POs, supplier contracts, quality certifications, and inspection reports.
- Prepare reports on procurement activities, supplier performance, and quality compliance for management review.

**Communication & Coordination**:

- **Supplier Communication**:

- Maintain clear and proactive communication with suppliers regarding order status, quality concerns, and delivery schedules.
- Address any issues or delays with suppliers promptly to minimize impact on production or project timelines.

**Administrative Support**:

- Provide administrative support to the procurement and quality departments, including organizing meetings, maintaining records, and preparing procurement documents.
- Assist with data entry, updating procurement systems, and tracking purchase order statuses.

**Required Qualifications & Skills**:

- **Education**:

- Bachelor’s degree in Business Administration, graduation, Engineering, or a related field. (or equivalent experience).
- **Experience**:

- Minimum of 1-3 years of experience in procurement, purchasing, or quality administration, preferably in the construction, electrical, or manufacturing sectors.

- Experience with purchasing materials related to safety equipment, electrical components, or infrastructure is a plus.
- **Key Skills**:

- **Strong Communication Skills**: Excellent verbal and written communication skills to interact effectively with suppliers, internal teams, and management.
- **Negotiation & Vendor Management**: Skilled in negotiating prices, terms, and conditions with suppliers while maintaining strong working relationships.
- **Organizational Skills**: Ability to manage multiple procurement tasks, track orders, and handle administrative responsibilities.
- **Quality Focus**: Familiarity with quality control processes and ensuring compliance with industry standards.
- **Technical Knowledge**: Understanding of materials used in lightning protection systems and electrical safety is beneficial.
- **Proficient in MS Office Suite** (Excel, Word, PowerPoint)
