**Job Title: Front Office Executive**
The Front Office Executive is the first point of contact for guests in the hotel, responsible for ensuring a smooth and welcoming experience from check-in to check-out. This role involves providing exceptional customer service, managing guest inquiries, and maintaining the overall organization of the front desk operations. The Front Office Executive works closely with various departments to ensure guests' needs are met, and is responsible for ensuring all administrative tasks related to guest services are completed accurately and efficiently.
**Key Responsibilities**:
- **Guest Check-in and Check-out**:
- Greet guests upon arrival and check them into the hotel in a friendly and professional manner.
- Assist guests with check-out, ensuring accuracy in billing and processing payments.
- Provide information about hotel amenities, services, and local attractions.
- **Customer Service**:
- Handle guest inquiries, concerns, and requests promptly and professionally.
- Resolve any guest complaints or issues, ensuring guest satisfaction.
- Maintain positive relationships with repeat guests, recognizing preferences and needs.
- **Reservation Management**:
- Manage room reservations, ensuring accurate entries and confirmations.
- Update reservation systems and coordinate with other departments regarding special guest requests.
- **Front Desk Operations**:
- Ensure the front desk area is neat, organized, and fully stocked with necessary supplies.
- Process incoming and outgoing mail, packages, and messages for guests.
- Assist with administrative tasks such as filing, data entry, and maintaining guest records.
- **Collaboration with Other Departments**:
- Work closely with housekeeping, maintenance, and other departments to ensure a seamless guest experience.
- Notify housekeeping and maintenance of any issues or special requests from guests.
- **Security and Safety**:
- Ensure the safety and security of guests and hotel property.
- Follow emergency procedures and assist in situations such as evacuations, fire drills, or medical emergencies.
- **Billing and Payment Handling**:
- Accurately process payments via credit cards, cash, and other methods.
- Handle billing inquiries, refunds, and adjustments as needed.
**Qualifications**:
- High school diploma or equivalent; a degree in Hospitality Management or related field is a plus.
- Proven experience in a customer service or front desk role, preferably in the hospitality industry.
- Strong communication and interpersonal skills.
- Proficiency in hotel management software (e.g., Opera, Fidelio, or similar systems) is preferred.
- Ability to multitask and work in a fast-paced environment.
- Exceptional attention to detail and organizational skills.
- Professional appearance and demeanor.
- Flexibility to work shifts, including weekends and holidays.
**Physical Requirements**:
- Ability to stand for extended periods of time.
- Must be able to lift and carry light to moderate items, such as guest luggage or office supplies.
