**Role Description**:
As our Executive Assistant, you'll be the go-to person for our executive team, keeping everything running smoothly behind the scenes. From juggling busy schedules to coordinating meetings and travel plans, your knack for organization and attention to detail will be key. Your proactive approach will ensure that you're always one step ahead, making life easier for our executives and contributing to the overall success of our team.
**Responsibilities**:
- **Calendar management**: Coordinate and manage the Managing Partner's schedule, including scheduling meetings, appointments, and travel arrangements.
- **Research**:Conduct thorough research in advance of meetings and events, identifying key attendees, their backgrounds, and potential areas of common interest or collaboration. Based on research, prepare a list of 2-3 conversation starters relevant to the attendees, the meeting/event objectives, and current industry trends or news.
- **Meeting coordination**:Plan and organise meetings, including agenda preparation, meeting logistics, and minute-taking. Analyze the meeting/event agenda and anticipate potential discussion points. Prepare briefing materials for the Managing partner to ensure they are well-informed and prepared to lead productive discussions.
- **Documentation and response drafting**:Draft high-quality correspondence, presentations, and reports on behalf of the managing partner.
- **Travel arrangements**:Arrange travel itineraries, accommodations, and transportation for the Managing Partner, ensuring cost-effectiveness.
- **Project support**:Assist in managing special projects and initiatives as assigned by the Managing Partner, including research, analysis, and coordination with team members.
- **Confidentiality**:Maintain strict confidentiality and discretion in handling sensitive information and documents.
- **Database Management and Business Development Tracking**:Develop and maintain a database to track business development activities, including new leads, ongoing opportunities, and closed deals. Monitor the progress of business development efforts and provide regular updates to the Managing Partner.
**Role Requirements**:
- Excellent written and verbal communication skills; strong copywriting and content creation skills
- Positive, motivated, manage time efficiently
- Able to work well under pressure
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees
