**Role Overview**
As an Operations Associate at Xylem Learning, you will play a pivotal role in ensuring the smooth execution of daily operations across our learning centers. Your responsibilities will encompass administrative management, student services, logistics coordination, and support for academic activities. This position demands a proactive individual who can manage multiple tasks efficiently in a dynamic environment.
**Key Responsibilities**
- **Center Operations & Administration**:
- Oversee daily activities to ensure efficient functioning of the learning center.
- Maintain administrative records and coordinate internal communications.
- Assist with student enrollment, admissions procedures, and document verification.
- **Hostel Management**:
- Supervise hostel operations, including room allocation and housekeeping coordination.
- Ensure a safe, hygienic, and disciplined environment for residents.
- Maintain records of occupancy, maintenance logs, and incident reports.(Glassdoor)
- **Transportation Coordination**:
- Manage transportation services for students and staff, including scheduling and route planning.
- Coordinate with vendors to ensure punctual and safe operations.
- Address and resolve transport-related concerns promptly.
- **Student Grievance Handling**:
- Act as the primary contact for addressing and resolving student grievances.
- Maintain a structured grievance tracking system and coordinate with internal teams for resolution.
- Foster a student-centric environment by ensuring timely and empathetic resolution of concerns.
- **Academic Support**:
- Facilitate class scheduling, course material distribution, and support for live/online classes.
- Ensure accurate and timely updates to CRM and LMS platforms.
- Assist faculty and instructional teams with logístical needs and day-to-day academic operations.
- **Cross-functional Collaboration**:
- Liaise with internal departments including Sales, Product, Content, and Customer Success to ensure operational alignment.
- Support in the planning and execution of examinations, internal assessments, and academic events.
- Coordinate with tutors and educators to ensure they are equipped with necessary tools and support.
- **Reporting & Compliance**:
- Generate and maintain operational reports related to student attendance, academic performance, and service delivery metrics.
- Monitor key operational KPIs and suggest data-driven improvements.
- Ensure compliance with internal SOPs and quality assurance standards.
- Bachelor’s degree in any discipline.
- Valid two-wheeler and four-wheeler driving licenses.
- 0-2 years of relevant experience in operations or administration (experience in EdTech or education-related fields is a plus).
- Strong verbal and written communication skills in English and local languages.
- Excellent organizational, multitasking, and time-management abilities.
- Ability and willingness to travel regularly between locations.
