- **Administrative Management**:
- Oversee daily office operations, including supplies management, vendor coordination, and office upkeep.
- Overseeing front office activities, including visitor management.
- Ensure smooth functioning of office equipment and liaise with service providers for maintenance.
- Coordinating with Operations team whenever required for warehouse inventory management.
- ** Facilities Management**:
- Coordinate and manage office space utilization, seating arrangements, and workplace safety protocols.
- Oversee facility maintenance, repairs, and service contracts for various amenities.
- Manage and coordinate office events, meetings, and other facilities-related activities.
- ** Reporting & MIS**:
- Create, maintain, and analyse various Admin and Travel related reports being able to explain and present them.
- Manage MIS functions, ensuring accurate data management and timely reporting.
- Develop and present reports and presentations using Excel and PowerPoint, providing relevant insights.
- ** Documentation & Compliance**:
- Maintain proper documentation for administrative processes, including asset management and inventory control.
- Ensure compliance with company policies, procedures, and legal requirements related to admin and facilities management.
- ** Stakeholder Coordination**:
- Coordinate with various departments for admin and facilities-related needs.
- Work closely with finance and procurement teams for budgeting, cost control, and vendor management.
- Assisting travel team and pickup the MIS part for travel desk.
**Required Skills and Qualifications**:
- Proven experience in administrative and facilities management roles.
- Proficiency in MS Office, particularly Excel (advanced functions), PowerPoint, and Word.
- Strong skills in data analysis, reporting, and MIS.
- Excellent organizational, multitasking, and problem-solving abilities.
- Good communication and interpersonal skills.
- Attention to detail and the ability to handle confidential information.
**Preferred Qualifications**:
- Bachelor’s degree in business administration, facilities management, or a related field.
- Prior experience in handling multiple office spaces and facilities.
- Experience in coordinating with external vendors and managing service contracts.
This role is ideal for someone who is resourceful, efficient, and has a knack for managing both administrative operations and facilities, while also being capable of handling advanced reporting and analysis.
