Job Title: HR Statutory Compliance Executive
Job Overview:
As an HR Statutory Compliance Executive, you will be responsible for ensuring that the organization complies with all relevant employment laws, regulations, and statutory requirements. Your role will play a crucial part in maintaining the company's ethical and legal standing, safeguarding employee rights, and mitigating potential legal risks. You will work closely with the HR team, legal department, and other stakeholders to ensure seamless adherence to all statutory obligations.
Key Responsibilities:
1. EPF Authority Liaison: Act as the primary point of contact for all matters related to the Employees' Provident Fund (EPF) with the EPF authority in Delhi NCR. Regularly visit the EPF office to handle correction cases, modify employee details, and submit necessary documents.
2. ECR Revision: Assist in the revision of the Electronic Challan-cum-Return (ECR) for EPF contributions, ensuring accurate and timely submissions as per the statutory deadlines.
3. Joint Declaration: Coordinate the preparation and submission of joint declarations for EPF, facilitating updates and corrections to employee records, if required.
4. Submission Follow-up: Monitor the status of all cases submitted to the EPF authority, following up as necessary to ensure prompt processing and resolution.
5. Case Closure: Ensure the timely closure of all EPF-related cases, verifying that corrections and modifications are accurately reflected in the EPF records.
6. Compliance Audits: Collaborate with internal and external auditors during compliance audits related to EPF and other statutory matters. Provide necessary documentation and information as part of the audit process.
7. Query Resolution: Address queries and concerns raised by employees regarding EPF and other statutory compliance matters, offering prompt and accurate solutions.
8. Recordkeeping: Maintain comprehensive records of all EPF-related communications, submissions, and resolutions, ensuring proper documentation for future reference and audits.
9. Updates and Training: Stay updated on any changes in EPF regulations and procedures and disseminate this information to relevant stakeholders within the organization. Conduct training sessions for HR and other departments to enhance their understanding of EPF compliance.
Qualifications and Experience:
- Prior experience in handling EPF matters and dealing with EPF authorities in Delhi NCR will be an advantage.
- Knowledge of EPF rules, procedures, and documentation requirements.
- Strong interpersonal and negotiation skills to effectively interact with EPF officials and resolve compliance-related matters.
- Ability to manage multiple EPF cases simultaneously and meet strict deadlines.
- Attention to detail and accuracy in preparing and submitting EPF-related documents.
- Understanding of ECR filing processes and proficiency in using EPF portals for submissions and updates.
Additional Responsibilities:
10. ESIC Compliance: Extend the same level of support and responsibility for compliance matters related to the Employees' State Insurance Corporation (ESIC). Visit the ESIC office in Delhi NCR when necessary for correction cases, modification of details, and other ESIC-related submissions and follow-ups.
11. Labour Offices Liaison: Act as a liaison with other relevant labor offices in Delhi NCR, such as the labor department and other statutory authorities. Visit these offices as required to address compliance-related matters and submit necessary documentation.
12. ESIC Case Closure: Ensure the closure of all ESIC-related cases after verification of corrections and modifications, ensuring that employee records are accurately updated in the ESIC system.
13. Compliance Tracking: Maintain a comprehensive tracking system for all ESIC and other labor-related compliance cases, providing regular updates to the HR team and management.
14. Other Statutory Compliance: Collaborate with the legal and HR teams to ensure compliance with other labor-related laws and regulations as applicable to the organization. Visit relevant authorities and handle submissions for these compliance requirements.
15. Recordkeeping and Documentation: Maintain accurate and up-to-date records of all interactions with ESIC, labor offices, and other statutory bodies. Keep copies of submissions, responses, and approvals for future reference and audits.
16. Training and Awareness: Conduct training sessions for HR and other relevant departments to keep them informed about ESIC and other labor-related compliance requirements. Ensure that employees are aware of their rights and entitlements under the ESIC scheme.
Qualifications and Experience:
- Previous experience in handling ESIC compliance matters and dealing with ESIC authorities in Delhi NCR will be an advantage.
