Distribution Planner- Bulk

Summary/Objective

To plan and schedule the distribution of bulk products for the region by ensuring delivery is done in a safe, timely and efficient manner in line with company targets and expectations, thereby ensuring customer satisfaction. In addition to this:
Site safety is targeted through vehicle inspection checklists and manages the day to day relationship with the carrier to ensure safety and on time delivery of product.

Backup for other schedulers in case of leave or emergencies.

Key Responsibility

Safety:

- Report all deviations, unsafe behaviors, unsafe situations, near misses, and accidents, incidents in the defined incident report format to AL India Safety.
- To ensure Zero Fatality & Zero accident pertaining to Distribution & Logistics.
- To provide support to Bulk Supply Chain Manager in line with Safety Score card & required actions for Improvement.
- Review and Report all Act-In cards, Unsafe acts & conditions, incidents & accidents pertaining to Distribution & Logistics.
- To log all incident/accidents & support in investigation of RCA for required incidents/accidents & closer of identified actions in time pertaining to Distribution & Logistics

Road Safety

Road Safety Management process is effectively implemented in line with GP-06, within his/her perimeter, including:

- Route Surveys:

- To understand associated risks on the route.
- To identify the resting places in coordination with Road Safety Master Trainer
- Liaise with customers to support elements that improve road safety.
- Ensure trip Planning considers
- AL India Road safety rules
- Elements from Route Surveys in the trip planning.
- Feedback from Drivers on Safety
- Conduct meetings and training with drivers when visiting facilities.
- Implement actions from AL India Road Safety Action Plan.

Distribution Planning & Operations
- Responsible for following all Operations Standards on day to day activities like SOP’s, WI, MOC, Safety Compliances & applicable regulatory compliances.
- Manage and supervise bulk logistics for a designated region, proactively plan & schedule replenishment orders for customers (based upon consumption patterns, lead times, tank sizes, vehicle availability, re-order levels & on demand towards VFR, Zero Return & Zero Stock outs).
- Implement & maintain VMI through effective use of technologies, BLAC and BRIOs installed on VIST at customer.
- Prioritize customers to be served in coordination with sales during shortage of resources or unusual situations.
- Supervise the execution of dispatches on a daily basis as per firmed plan for the day. Timely preparation of documents (DO, POD, Invoice, Delivery Challan) for dispatches.
- Track the VITT on GPS system for timely delivery. Coordinate with customers if there is any delay in unloading and release of tankers.
- Functioning of BRIO / DALIA and coordinating with CES for troubleshooting.
- Supporting Project manager for BLAC v2 upgradation and other allocated tasks under BLAC.

Inventory Management
- Actively participate in PvD meetings to ensure product demand is met by the primary production team.
- Coordinate with external sources to manage the dispatches and schedule it.
- Responsible for documentation and process for the timely payments to the external sources.

Carrier management
- Follow Up with driver and supervisor for the management of the drivers in terms of the follow the road safety and fatigue with AL guidelines.
- Follow-up with carrier supervisor, distribution officer & assets controller to ensure vehicle’s availability.
- Work closely with the Transporter's supervisor to follow the optimized routes for safe deliveries to customer sites.
- If any deviation is required in the designated route, review with the Road safety officer and efficiency manager for decision making.
- Online Tracking of vehicles to meet customer commitments

Reporting
- Prepare, analyze and review business and functional metrics through unconfirmed Delivery Order report, Key Performance Indicators report, Daily dispatches reporting process, Product loss, Dispatch documentation, Bulk Dispatch & Invoices Details, Vehicle’s availability, Sourcing forecast sheet.

Competencies

Graduate of any discipline with 5-7 years experience in logistics & dispatch planning process of Cryogenics industry or in any similar industry, with basic knowledge of any ERP system.

Knowledge of Purchase order, Delivery order, Pass out Document (POD), Road Permits, Invoicing, Credit notes, Debit notes etc.

Desired Competencies
- Planning and controlling skills
- ERP system
- Analytical skills.
- Statistical knowledge (Experience of planning as well as procurement is preferred)
