**Job Title: Office Assistant - Quotation Executive (FEMALE ONLY APPLY)**
**Job Summary**:
**Key Responsibilities**:
- **Quotation Preparation**:
- Prepare accurate and professional quotations based on customer requirements and company pricing structures.
- Ensure all quotations are submitted in a timely manner and follow up with customers to confirm receipt.
- Coordinate with the sales team to ensure that quotes meet customer expectations and budget constraints.
- **Customer Communication**:
- Act as a point of contact for customers regarding their quotation requests and follow up as needed.
- Address customer queries and provide clarification on the quotes, products, and services offered.
- Maintain a professional relationship with clients, ensuring customer satisfaction throughout the quoting process.
- **Data Management and Filing**:
- Maintain and update quotation records and databases for easy access and reference.
- Track the status of quotes and ensure that they are processed in accordance with company timelines.
- Ensure all documents related to quotations are filed accurately and stored according to company procedures.
- **Sales Support**:
- Assist the sales team with administrative tasks such as preparing reports, processing orders, and updating customer databases.
- Help in analyzing sales data and customer feedback to improve quotation processes and strategies.
- Collaborate with other departments (e.g., procurement, finance) to ensure that quotations align with stock availability and pricing.
- **Administrative Duties**:
- Perform general office duties such as answering phones, scheduling meetings, and managing office supplies.
- Assist in the preparation of presentations, documents, and proposals for sales meetings.
- **Continuous Improvement**:
- Suggest process improvements for creating more efficient quotation workflows.
- Stay updated on product offerings, pricing strategies, and industry trends.
**Required Skills and Qualifications**:
**Education**: High school diploma or equivalent; additional certifications or coursework in office administration, sales, or related fields is a plus.
**Skills**:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM software.
- Attention to detail and a high degree of accuracy in preparing documents and entering data.
- Ability to work independently and as part of a team.
- Basic knowledge of pricing strategies and sales processes.
