Tender Operations Executive

The **Tender Operations Executive** is responsible for managing end-to-end tender processes, including handling Government e-Marketplace (GeM) and E-Tender portals. This role involves monitoring tender opportunities, preparing and submitting bids, ensuring payment collections, including Earnest Money Deposit (EMD), and coordinating with internal and external stakeholders to maximize success in government procurement. The Executive ensures compliance with tender requirements, timely submission, and alignment with company objectives to enhance revenue generation.
**Key Responsibilities**:
- Register, update, and maintain the company’s profile on GeM and E-Tender portals.
- Regularly monitor tenders and opportunities on these platforms.
- Ensure accurate documentation and timely submission of tenders and bids.
- Analyze tender requirements, including eligibility criteria, technical specifications, and commercial terms.
- Coordinate with manufacturers, vendors, and internal departments for required documentation and approvals.
- Ensure all tender submissions comply with government guidelines and regulations.
- Maintain records of submitted bids, approvals, and correspondences for audits and future reference.
- Liaise with OEMs to obtain necessary authorizations, certifications, and technical documents.
- Negotiate terms with vendors and manufacturers to align with tender requirements.
- Ensure timely collection of all payments related to tenders, including the EMD (Earnest Money Deposit) and other financial obligations.
- Address issues such as payment delays, order cancellations, or disputes in coordination with relevant departments.
- Stay updated on government procurement policies, procedures, and portal updates.
**Qualifications and Skills Required**:
- Bachelor’s degree in Business Administration, Commerce, or a related field.
- Minimum 2-3 years of experience in GeM/E-Tender portal management or government sales.
- Familiarity with industry-specific tenders (e.g., consumer electronics, IT hardware) is a plus.
- Proficiency in using GeM and E-Tender portals.
- Strong understanding of government procurement processes, policies, and financial management related to tenders.
- Excellent communication and coordination skills.
- High attention to detail and ability to manage multiple tasks under tight deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management tools.
