Job Description: Personal Secretary/Personal Assistant with 1 year of experience
As a Personal Secretary/Personal Assistant, you will be responsible for providing high-level administrative support to the CEO.
Your role will involve managing his daily schedule, handling communication, organizing meetings, and ensuring smooth operations. This position requires exceptional organizational and communication skills, as well as the ability to maintain confidentiality and act with discretion.
Key Responsibilities:
Calendar Management:
- Effectively manage the executive's or individual's calendar, scheduling appointments, meetings, and events.
- Coordinate and prioritize appointments, ensuring no scheduling conflicts and timely reminders.
Communication and Correspondence:
- Draft, edit, and proofread various documents, presentations, and reports.
Travel Coordination:
- Arrange and manage travel itineraries, including flights, accommodations, and ground transportation.
- Ensure travel plans align with the executive's or individual's schedule and preferences.
Meeting and Event Organization:
- Coordinate and organize meetings, conferences, and special events.
- Prepare meeting agendas, take minutes, and distribute relevant materials.
Document Management:
- Maintain and organize official documents, records, and files.
- Implement a systematic filing system for easy retrieval of information.
Administrative Support:
- Provide general administrative support, including photocopying, faxing, and handling office supplies.
- Assist with expense management, reimbursements, and invoicing.
Liaison and Networking:
- Act as a liaison between the executive/individual and external parties, such as clients, vendors, and partners.
- Build and maintain professional relationships on behalf of the executive/individual.
Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Maintain strict confidentiality regarding personal and professional matters.
Qualifications and Skills:
- Minimum of 1 year of experience as a Personal Assistant or Secretary, supporting high-level executives or individuals.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in using office software, such as MS Office (Word, Excel, PowerPoint, Outlook).
- Attention to detail and accuracy in all aspects of work.
- Ability to work independently and proactively anticipate the needs of the executive/individual.
- Demonstrated problem-solving and decision-making abilities.
- Professional demeanor with excellent interpersonal skills.
- Discretion, integrity, and trustworthiness in handling confidential information.
**Salary**: ₹20,000.00 - ₹30,000.00 per month
