**Job Description**:
**Responsibilities**:

- Greet clients and visitors and direct them to the appropriate personnel.
- Answer and direct phone calls in a professional manner.
- Maintain and update filing systems, both electronic and physical, ensuring all documents are organized and easily accessible.
- Assist with scheduling appointments and meetings, and coordinate conference room bookings.
- Prepare and distribute meeting agendas, memos, and other documents as needed.
- Assist with the preparation of project proposals, reports, and presentations.
- Order and maintain office supplies, and ensure office equipment is in good working condition.
- Assist with basic bookkeeping tasks such as invoicing, expense tracking, and vendor payments.
- Coordinate travel arrangements for staff, including booking flights, hotels, and transportation.
- Assist with organizing company events, workshops, and seminars.
- Collaborate with other administrative staff to ensure smooth office operations.

**Requirements**:

- Proven experience as an administrative assistant or relevant administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to multitask and prioritize workload.
- Attention to detail and high level of accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience in the architecture or design industry is preferred but not required.
- A proactive and positive attitude with a willingness to learn and take on new challenges.
- Any graduate degree; additional qualifications in office administration or related field is a plus.
