**Position Title**: Room Reservation Receptionist

**Department**: Front Office / Reservations

**Job Overview**:
The Room Reservation Receptionist is responsible for managing and processing all room reservations for guests. They ensure that reservations are made efficiently and accurately, provide excellent customer service, and act as the first point of contact for guests inquiring about room availability, rates, and other services. This position requires strong communication skills, attention to detail, and the ability to work in a fast-paced environment.

**Key Responsibilities**:
1. **Reservations Handling**:

- Process reservations and confirm bookings using the property management system (PMS).
- Ensure accurate input of guest details, reservation dates, and special requests.
- Upsell room categories and hotel services to maximize occupancy and revenue.

2. **Guest Interaction**:

- Provide exceptional customer service by responding to guest inquiries in a professional and courteous manner.
- Assist with special requests and handle guest complaints or concerns related to reservations.
- Ensure that all reservations are made according to hotel policies and that guests receive confirmation details.

3. **Reservation Management**:

- Maintain an organized and up-to-date reservation calendar.
- Monitor daily and upcoming arrivals to ensure the smooth check-in process.
- Coordinate with other departments (Housekeeping, Front Desk, Sales) to ensure guest preferences and requirements are met.
- Cancel or modify reservations as needed and ensure correct billing information is recorded.

4. **System Maintenance**:

- Regularly update the reservation system to reflect the availability of rooms.
- Ensure that all cancellations, no-shows, and changes are properly documented and communicated to the relevant departments.
- Perform daily audits to ensure the accuracy of bookings and financial data.

5. **Reporting**:

- Prepare reports on reservations, occupancy rates, and booking patterns as requested by management.
- Keep track of room inventory and report any discrepancies to the supervisor or management.

6. **Coordination with Other Departments**:

- Communicate room availability, special requests, and VIP guest information with the Front Desk and Housekeeping teams.
- Collaborate with the Sales and Marketing team to ensure promotions and special offers are reflected in the reservation system.

7. **Customer Relationship Management**:

- Build and maintain good relationships with returning guests, travel agents, and corporate clients.
- Maintain a database of frequent guests and their preferences for personalized service.

**Qualifications and Skills**:

- **Education**: High school diploma or equivalent required; Bachelor’s degree in Hospitality, Business, or related field preferred.
- **Experience**: At least 1-2 years of experience in a similar role in the hospitality industry, preferably in a hotel environment.
- **Language Skills**: Fluent in [English] (additional language skills may be an advantage).
- **Interpersonal Skills**: Excellent verbal and written communication skills, with a friendly and professional demeanour.
- **Problem-Solving**: Ability to resolve guest issues and conflicts effectively and efficiently.
- **Organization**: Strong organizational skills, with the ability to manage multiple tasks simultaneously.
- **Attention to Detail**: High level of attention to detail and accuracy, especially in handling reservations and guest data.

**Working Conditions**:

- **Shift**: Flexible working hours, including weekends, holidays, and evening shifts.
- **Physical Requirements**: Ability to sit for extended periods, use a computer, and occasionally lift light office supplies.

**Job Types**: Full-time, Permanent

Pay: ₹9,181.46 - ₹25,568.56 per month
